Insightly

Insightly is perfect for small business owners who are not that tech savvy. It is also well known for its ease-of-use so if you aren't sure how to use a full-blown CRM this is a great place to be. Overall my business partner doesn't want to go back to a complicated system like Zoho CRM that was difficult to understand.

MindManager

  • MM is superb for brainstorming - individually or with a group.
  • MM is superb for quickly focusing a group down the key elements of a discussion, plan or strategy.
  • I have found MM less useful in making Presentation material for said groups.
  • With each new MM version, the features and options get more refined and useful in the above-mentioned areas.
The notification/alarm function was pitiful and more recently has been vastly improved. It is still not "Google Calendar" replacement material, which I would like it to be.

  • I would like to be able to readily select groups of topics and apply formatting e.g. circle three topics and have them collectively outlined or colored
  • Would be nice to have a small collection of the icons that I use most frequently in a group on the top bar so I can easily drag and drop
  • Its a bit cumbersome to generate custom formats
  • I've had trouble configuring this latest version to attach emails from Outlook which was a really useful feature for my dashboard

Insightly offers a great product; it's the right fit for our company at this time. We were, however, considering moving to Contactually due to their cost effective automation features. However, they lacked the project management capabilities of Insightly. As our company grows, we would love to stay with Insightly - and if they can nail the automation and add the ability to customize a little bit more, it would be the perfect solution for us. For a larger company with a more involved sales team, you might find the metrics/reporting to be a bit basic. Insightly offers great customer service even to free customers

I feel the main issues of the old Mindjet seem to be gone with the
Corel purchase. With the huge advance of sharing via browser HTML even 1
user can affect many. And, actually, using MM kind of forced my rigid
brain to rethink how I categorize and classify information/projects.
The
idea of paying $69USD for an annual cost is more than fair and a great
model for Corel/Mindjet to keep rolling out improvements!

Reports can quickly be made, including custom fields.The website response has always been quick to load and has never been unavailable when I have needed access. They listen to requests for additional or custom features, and they hold workshops frequently to assist new and experienced users.

Occasionally I do have a bit of a back and forth via email...WHEREAS a quick POTC (plain old telephone call) would probably be best all concerned.
Perhaps a telephone-based Super premium support service (might be there but I might not know about it).

I've also attended a few webinars, which can be useful if you use a J-I-T approach so as not to overwhelm you (or your staff) with functionality that you are using just yet. The fact that it's all available on their website and you can learn at your own pace is invaluable

The only missing thing at this time that would make our implementation complete would be a tighter integration with Xero allowing us to send quotes and report on quotes from Insightly!Xero has, excuse the pun, ZERO reporting on quotes sent!!!They are both very good products, however it's the little things that make good GREAT!

We did a one year of evaluation of 17Hats and while there were things that we liked - like the integration with DocuSign, they were just not worth trying to make the switch. Overall, the company seemed to do a good job of growing with its clients, it just seemed a bit 'young'. They were adding stuff on request but we really needed a CRM that was already there and knew what we were going to need. Zoho seems amazing but so piecemeal that we would need to invest way too much to get all that we wanted. Really a bit overwhelming. Insightly meets our needs and continues to improve and has very responsive client support.

I like that MindManager is local software instead of a cloud-based service like MindMeister. This lets me work on a map even when I don't have internet access. It's also faster and more fully-featured.Visio is a cumbersome tool for mind mapping, as it is optimized for design more than rapid entry and organizing.

(+) Being able to download my LinkedIn connections was a huge benefit. (+) I use the task function to stay on top of my follow-up activity which is another positive feature. (+) The sorting capabilities also help me pinpoint the contacts that I need to stay on top of.(-) When I add a new lead from an existing organization, I would like the organization's information to automatically populate the fields like address, website, description. I enter all that information manually. (-) My mass mailing experience has been tedious due to the email function being interrupted and crashing due to bad email addresses in some of my records. (-) Many of my leads do not have current email addresses. I wish Insightly offered a tool to help find email addresses. I spend too much time researching to find email addresses.

Return on Investment

Insightly

  • The most important effect that Insightly has had on our company is the unified organization of information available to the entire company. If someone leaves the company, or is just out sick, all of the info for their clients and their projects is available for management to use to keep business moving. For instance, I was called away for a family emergency and forgot to reschedule an in-house demo with a client. When the client showed up, my boss (the CEO of the Company) was able to review the client file, read the notes on the product demo and the client's needs and he was able to perform the demo himself. All of the information was right there to get him up to speed on why our client was there and what they needed.
  • Efficiency is the next major positive impact that Insightly has brought. As a small, yet growing company, our employees have to be able to wear multiple hats and perform variety of functions. Insightly has brought such organization to my life that I am now able to keep much better track of all my daily tasks and in fact get so much more done in less time. My efficiency and productivity have increased dramatically.

  • Most recent example: Initiated a committee to set direction on how to most effectively assist the working poor and at-risk populations within our five county region. Mind mapping allowed the team of 10 - 12 people to absorb the ALICE (Asset Limited Income Constrained Employed) data for the region and determine which groups were most at risk and which groups State and Federal funds my be able to most effectively assist. Three to five maps allowed adequate data absorption by the team to set the 1 to 3 year strategy within a relatively short period of time and start implementation.
  • Have used the tool in the past for strategic planning for corporate business teams in areas of profit management, quality performance, business reliability, safety improvement with varying degrees of success. Typically the mapping process has contributed greatly to both defining the strategy and implementing.
