Documentum is best used in medium to large institutions that can afford it, have alternate solutions for web publishing, and who have either in-house developers or can hire good Documentum developers (not the ones who know Java but do not understand ECM). It is, in my opinion, the best heavy duty ECM solution out there, assuming OT is not gutting it as we speak. That is my only hesitation to not giving it a 10, OpenText is an unknown quantity in this and I worry that they will only support Documentum until they have figured out how to fill the gap between Documentum and OT and then offer a migration path to OT with a Documentum sunsetting as an incentive.

Information control. Information management. Not good at collaboration or collaborative work on documents. Administration is complex, and requires highly specialized teams to do it.

Vasion
The best case we've found for Vasion is the one that explains why we moved to Vasion in the first place. Our Windows print servers were extremely temperamental for our Azure devices and, in many cases, would take 20 minutes or more to just set up correctly. We would then have issues with printers not printing for long periods or with print jobs not showing up in the printer queue. It was also hard for the staff to install their own printers when the one they normally used went down. It was also very hard for staff to figure out how to navigate the printer list to install printers. Vasion made all of this very easy and gave the staff one easy web page to find the printer they want and install it.

  • MaxxVault is a full-featured product at a cost significantly less than its competition.
  • MaxxVault is end-user maintainable. I do not have to carry an IT staff to support this critical system.

Cons
OpenText
  • WDK framework has been the biggest drawbacks from the application speed point of view, as well as client complexity and not so natural look and feel. Yes, with the latest releases much of these features are improved.
  • EMC is very expensive to buy, own and support, where some products require many dependent Docuemntum products to be installed to work at its best.

Stability is a key factor as well as its flexibility. Also, any organization that deploys Documentum will have made a significant investment in terms of time and money, so not renewing its commitment can come with a significant cost. That said, the decision to deploy Documentum initially should come only after extensive evaluation, knowing that once deployed it will likely remain the platform of choice.

OpenText Enterprise Content Management is reliable and it has a friendly user interface. It can replace all legacy document repositories. With the integrations with SAP, it gives non-Sap users visibility into documents that are critical for making key decisions.

I would say its around 7. For us it was easy to do deploy, to use the centralised control, and not too complex compared to other printing services. However, some workflows became complicated depending on configuration. In our case, it was a bit complicated after a while. But its still user friendly.

Support is better than with ECM, but could use some improvement.

The support is not very efficient, either by a partner or directly from Opentext. The support for Latin America is very limited by the language, and they do not have specialized support that supports the Spanish language.

Vasion had a much better interface for installing printers for staff. It was very easy for staff to manage their own printers and install what they want or need. Vasion also seemed to be better equipped for reporting and use by our non-technical staff. We were also impressed with the support of Vasion and how easily they answered all of our questions.

  • Having seen similar organizations implement software solutions costing upwards of $1 million, I can safely say the ROI on our MaxxVault implementation has paid off massively for our customers and staff. We could not do what we're doing without MaxxVault.
