Large, Multi-Party Capital Projects Scenario: Major construction or infrastructure projects involving owners, designers, multiple contractors, subcontractors, and regulators. Why Aconex Fits: Provides a neutral, single source of truth across many independent organizations. Strong permissioning and data ownership model builds trust between parties. Scales well to very high document volumes and long project durations. Example Use: Design development and construction documentation for a multi-year infrastructure project with hundreds of external users.
My rating would vary depending on the types of projects that need to be managed. Since I am in software, I don't think it was an excellent fit to manage software projects unless they are small projects with only a few tasks. On the other hand, if you are needing to manage a wide range of departments that are working on a single project with many moving pieces, then I would think that PI might be a better fit. Think of it as a jack of all trades, but master of none.
My work involves projects of 5-15 people with numerous projects running simultaneously. Prior to Zoho, I did not have a central location from which to view all project statuses at once. Zoho looks to provide this and also looks like it will deliver. I am anxious to see how our organization's use of it develops. At this time, I feel I am likely to recommend Zoho Projects because my organization has made great software decisions in the past so I have a level of trust already that the research has been done that Zoho is the best solution for our line of work.
We use it to manage our sales orders as there are lots of moving parts which are necessary to get client orders done properly.
I use it anytime I have a new idea I want to put into motion. As I can create a list for brainstorming, feedback, specific actions necessary in order to test and or implement the idea.
Unrelated to business, it's a great way to plan travel in order to make sure you don't forget those important things like passport, flight arrangement, client meeting confirmation, and meeting prep as far as what specific documents or things do you need to bring with you.
And since everyone is on the go and expected to keep up with work, the mobile/tablet app makes it a breeze to keep up, work on, and create new projects.
I've reviewed about 8 other project management solutions and Zoho Projects is the best I've seen without being overly complicated. Zoho Projects keeps getting better! Recent new enhancements makes it even easier to navigate. There are new keyboard shortcuts that cut my time way down. The tools are very easy to use.
Zoho Project has been very user-friendly. As a small business, we have a diverse group of people with varying skill sets. This platform has been easy for our team to learn, implement, and succeed with. The mobile version is also very handy for our team.
I found Project Insight somewhat opaque overall. I thought the training was sparse and answers to questions few and far in between. There was a lot of power there for the dedicated user/administrator. For me, who was a casual user and administrator, I found support lacking. I didn't administer Project Insight much, just some work on integrations with other tools.
Although it might lack intuitiveness, once you get a hang of how Zoho Projects works, you can do a LOT. The impact good project management has on profitability is huge, and it has helped not only improve communication and coordination when working on a project, but more importantly have adequate tracking of time, due dates and potential bottle necks
Aconex's document control workflow allows for multiple versions of the same revision, enabling markups to be seen and document history as appropriate. This is on par with SOLIDWORKS EPDM, and is by far better than InEight's TeamBinder, as the originator and uploader of the document are able to change the version without the need for an administrator.
When I got to the company where I used Project Insight, we had our own custom tool that fit the tasks that it was designed for but wouldn't grow with the company unless resources were put onto expanding capabilities. We needed something more.
We replaced that tool with Redmine. It worked well and was easy to use, but it looked pretty dated when we got it, and since we didn't have many resources for managing, it looked dated after a few years without receiving upgrades. It was a decent tool for small teams that were focused on similar tasks. Redmine was much more straightforward than Project Insight and felt more reliable since we never had an issue with our internal servers. On the other hand, Redmine felt dated and didn't fit as many of the tasks that were needed. Redmine's price was right if you installed it locally and was probably still cheaper if you used their SAAS version.
Jira, on the other hand, felt like an excellent tool for software teams. Jira had a great project and task management and felt right for a software team. Jira also had useful integrations, even with Project Insight. Jira seemed pretty unreliable, worse than Project Insight. Our team would have preferred Jira, but I think it didn't work for other teams.
Zoho Projects provides a more limited set of functionality and customization options than other task/bug trackers on the market, but what it lacks in functionality it makes up for in ease of use. It probably has 80-90% of the features of its competitors but takes about a third of the time to get up and running and realizing value.
Reductions in print costs alone (subcontractor bid process) paid completely for the use of the product. Further benefits to all project participants included process streamlining and 100% access to all project documentation (Drawings, Specifications, Contracts, Notices of Change, Change Orders etc.) from any online source including mobile devices. Benefits probably accounted for 150% of product cost.
Intangible benefits included reduced exposure to claims as a result of good (and agreed process tracking).
We needed a system to organize our growing business, so anything was better than what we had, which was nothing.
Recording time spend is a huge reason for using project software. It has made me aware of the tasks that are taking too long and where we are not being profitable as a company.
It has kept our team accountable for what needs to get completed and when projects are not in motion or completed timely. It's helpful to know in order to get billing out faster.
