When you need to create a private, secure space for individuals to collaborate or work on a project together, SAP Jam does a great job at bringing people together and giving them a space to work together in. There are also great ways to provide learning opportunities (including sharing webinars or other educational content)

Wrike

Wrike is excellent in all kinds of contexts except where the budget for project management software is very tight or an extremely simple tool is required - but even then I would recommend to choose a tool that you can grow into as migrating further down the line is really messy and and takes a lot of time.

  • Managing members with the communities is easy (including inviting them to join).
  • Publishing and editing content is easy with the platform.
  • The interface is easy to use and navigate.

Wrike

  • Wrike is very flexible and versatile. I have used many project management systems, and some have rigid requirements - such as needing a completion date. Wrike is customizable, so you can create the setup that works best for you. You can create custom workflows, request forms, folders, etc. - and the changes could be for your whole account, or just for a specific team/folder.
  • Wrike allows for many ways to view projects. It has kanban boards, gantt charts, calendars, lists, tables, reports, analytics, time logs, activity streams, etc. Most other tools I have used have some of these. But, everyone has their own view that they prefer to work from. In Wrike, all the projects and tasks can be managed from almost any view. In my experience, this increased adoption and efficiency as team members were comfortable using the view.
  • In Wrike, you can save filters, which makes managing projects much faster and easier.

  • Sometimes users get too many notifications from the system which can be overwhelming if they haven't set up their notifications to their standards.
  • Analytics on engagement aren't great.

Wrike

  • If you have multiple mailboxes (i.e. - Shared mailbox) added to Outlook client, the add-in to create tasks doesn't function on the secondary mailboxes. You have to move/forward/copy the email to the primary mailbox in order to use the add-in.
  • There were frequent software updates (for desktop client) which meant we were constantly uninstalling the old client and installing the new client. Doing this meant that you have to "re-pin" the shortcut to your taskbar again (if you pinned previously).
  • I am not sure if Wrike is "intended" to be a Ticketing system for ITSM, but it works much better as a Project Management system rather than as a Ticketing system.

Wrike is a free resource for us currently, we moved off the subscription as the team had some adjustments. If we were to go back to a paid model or require more time reporting I'd have to look at alternatives such as Podio. I am the sole manager of Wrike currently internally, and would like to get more people on board to justify the cost

It's an integrated platform that brings together a lot of different people from across the association to work on shared projects, etc. Given the various roles people play and the varying skill sets they bring to the table, the platform is fairly intuitive to use and easy to navigate around

Wrike was difficult to learn at first. But with videos, emails on tips and tricks, I've been able to adapt. However, it's been difficult to convince other departments to use the program as it can be a bit overwhelming at first. I don't know what the solution is, other than to keep using it. Perhaps a template as a start for newbies?

Over two years of (almost) daily usage without outages. Don't remember any errors. I give it 9 only because some Wrike plugins (for online document edit) are based on NPAPI architecture. These types of plugins are being phased out in new browsers, and NPAPI plugins are disabled by default in recent versions of Chrome so you have to do some browser adjustments when you switch browsers or move to another computer.

For the most part, Wrike works very well. Every so often, the Apple/Mac application can be slow to load. Sometimes it requires a refresh and it is working fine again. I have not figured out if it is the software or just a computer issue

We have to submit requests multiple times to get a response and it often feels like they go into a black hole. Because we don't have anyone in house really supporting the back-end of the platform, we rely on SAP Jam's support and development teams to help solve problems and improve the platform for us.

Wrike's customer support is top-notch! There are so many ways to get answers from Wrike - from their blog, videos online, community forum, contacting customer support. Whatever way you choose, you'll have an answer within 24 hours, often within just a few hours. I love my customer success manager because she meets with me via Zoom every quarter to show me new product updates, tips and tricks, and talk through any issues or wishes I have with the system. She then provides me with regular status updates on product suggestions I've made. It's awesome!

We initially had online training. A trainer took us through various training sessions where we learned about all of the tools Wrike provides. This alone allowed us to learn and set up the software and roll it out to our team. Later, a customer service rep stopped in for some one on one training which was extremely helpful.

This includes a 'getting started' sett of videos along with a collection of more in depth videos to assist more experienced users. Combined with their excellent chat support learning wrike is easy and it includes easy access to best practices.

I think it's really about developing a relationship with your Wrike partners, in tandem with your key stakeholders. Once everyone is on the same page, it makes implementation easier. Also, make sure you put a LOT of thought into your Wrike Knowledgebase, clearly plan how you are going to support your users with the key information and answers they will ask

Alternatives Considered

We actually probably moving to Higher Logic for our virtual community needs -- their interface is better and can more easily integrate with our website to provide a seamless experience for our users. We also want them to be able to toggle between our website and the community platform and it's not currently set up to do that well

Wrike

Wrike is easier to use and has better usability than Asana and Jira. It's more flexible than Monday, Trello and Basecamp. It's slightly more complicated and requires more setup than Basecamp, which has less flexibility to customize but is probably more user friendly and simple to use. Overall, it's a great tool for remote teams collaborating on complicated waterfall and agile projects.

Based on our experience, Wrike is very scalable. Our only issue is that you have to by seats (licenses) in certain increments. For example, when we started using Wrike we only needed 3 seats but we could not purchase any less than 5 so we were paying for 2 extra seats that weren't being used. We still currently have an extra seat open.

  • Our constituents value community and this has enabled us to be able to bring people together in a secure, virtual space.
  • We are a national association and many of the people that need to collaborate on work projects aren't physically in the same place, so this virtual space has improved work output.

  • Positive: Effectiveness - our department production level greatly increased once we implemented Wrike.
  • Positive: A decrease in stress/anxiety - by keeping everyone in the know, there were fewer concerns. Even when a project was running behind, it was easy for team members to see why and when it had been rescheduled for.
  • Negative: This is a stretch, but the only negative impact Wrike has had is the amount of time it does require to be a successful software tool. It's important to strike a balance between the number of hours used each week to keep everything up to date vs the hours spent on actual project development.
