Overall Satisfaction with Expensify

Use Cases and Deployment Scope

Expensify is used for all expenses in our org; sales travel, cell phone expenses, receipts for trade shows, etc. All of the expense rules created by the corporate accountants to limit expenses are taken into account. Over the max for your cell phone bill? The system will tell you. Any exception is noted. When traveling, we simply track expenses directly in Expensify before submitting at the end of the trip. Photos of receipts are OCR'ed into usable submissions. Easy.

Pros and Cons

Pros

OCRing documents works well for the most part.
Splitting hotel stays into individual days is easy.
Upload of photos of receipts is simple.

Cons

OCRing receipts is not 100%. Sometimes it picks the wrong vendor.
It sometimes allows me to submit a non-refundable expense report, the default should be refundable.

Return on Investment

Faster and more accurate expense tracking.
Easy to track expense per cost center.

Usability

Anyone who can use a browser can use Expensify. I particularly like the updated interface. It remembers previously selected items at the top of the list, making it much easier to enter in recurring expenses, such as monthly cell phone receipts. It also automatically flags any expense outside of the corporate rules, or if the expense exceeds a predetermined maximum.

Alternatives Considered

IBM AIX

There is no comparison. When I worked at IBM, they used a legacy home-grown app on AIX that was probably designed in about 1975. Expensify is a much more modern approach, far, far easier to use.

Likelihood to Recommend

Easy to recommend, easy to use. Expensify allows the introduction of receipts over a period of time, such as on a company trip. You can simply take a snapshot of a receipt with your phone, and add it to the list of expenses for that trip. Have lunch? Take a snapshot, store it in Expensify. Take a taxi? Just take a snapshot of the receipt, store it in Expensify. If you do this as each expense is incurred, you only have to click Submit once for the entire trip.
