Overall Satisfaction with Microsoft Exchange

Microsoft Exchange is the standard enterprise product for email communication, with many integrations with other Microsoft products. Our business lives and breathes through Exchange - internal communications, customer communications, presence, organization and scheduling, with a backbone of security through Active Directory and Entra ID. We would not be able to function without it.

Pros

  • Email communication and collaboration
  • Calendar and scheduling for people, groups and resources
  • Cross platform - access from nearly any type of PC or mobile device

Cons

  • It can be very complex but this is expected of such a robust product
  • The New Outlook was released (very) prematurely and has some significant features that are missing
  • I would like to see Outlook and Teams functionality all in one app
  • Microsoft Exchange is so fundamental to our business that it is very difficult to calculate. Since migrating from Lotus Notes we have not considered or needed any other email product.
  • Microsoft Exchange is extremely reliable - we have not had any outages that caused a significant financial impact on our business. Occasionally, one feature will stop working for a few hours but it is never down completely.
  • We have never lost any data that was hosted on Microsoft cloud that wasn't through fault of one of our employees.
Microsoft Exchange has come a long way over the years and has nowhere near the technical overhead required for support as it did back in 2003/2007 and prior. The integrations with Teams, Defender, Sharepoint, Copilot and many other products make it a solid and well-rounded tool used for many day-to-day tasks.
Google Workspace has much more limited functionality compared to Exchange. I believe it is a bit cheaper on the most basic subscription tier but that's about the only reason to consider using it. It may also be worth considering if you have other workloads using Google Cloud Services, however Microsoft has feature parity in Azure.

Microsoft Exchange is extremely well suited for large enterprise customers and SMBs. I would not recommend it for organizations with only a handful of users due to the complexity and overhead to maintain security. I worked with hundreds of clients as part of a Managed Services Provider and we recommended Exchange for any customer with more than 3 or 4 employees.
