We basically use Miro in our organisation mainly for collaboration, brainstorming, and planning. It helps our teams to work together in real time, especially when people are in different locations. Miro gives us one central, visual space to organize everything.
It solves problems like lack of clarity, poor team alignment, and long, unproductive meetings. We mainly use it for campaign planning, workshops, client discussions, and mapping workflows or strategies. Overall, it has made our communication clearer, meetings more engaging, and decision-making faster.

Pros
- Utilising Miro as a brainstorming tool enhances group interactivity and enjoyment by allowing users to digitally create ideas using sticky notes, vote for them, and see what other participants are doing, simultaneously stimulating creativity amongst all users participating in the session.
- Through Miro's visual mapping capabilities, organisations can effectively represent their business processes, workflows, customer journey mapping, and complex solutions. Visually connecting all aspects of a project(s) through representational maps ensures that everyone involved in a given project is clear about how they connect to each other and enhances teamwork.
- Miro has been used as an active facilitator for strategic discussions/meetings among teams working on similar projects (e.g., breakout sessions/workshops) or between teams/departments within a business. In addition, having multiple teams collaborate on the same platform has developed a more robust forum/discussion for making better and more informed decisions
Cons
- As the number of boards continues to grow, teams are finding it increasingly difficult to manage and locate items on boards. Organizations could benefit from a more robust filing system and improved tagging and search capabilities to help them stay better organized.
- Many new users may need more time to become accustomed to Miro's tools and features. If Miro offered better guided onboarding, provided additional template options to ease new-user use, and produced a more streamlined user interface, new users would be able to adopt Miro more easily.
- Miro's performance may slow down on larger boards with many media items and users adding to the board at once. The performance impact may impede a live workshop and/or navigating the board. Improved speed and stability when using Miro would enhance overall use.
- Our business has benefited from Miro's positive impact, improving team productivity through collaboration, faster decision-making, and greater overall output. Miro has provided value by reducing the time lost in unproductive meetings, as discussions are now more visually and structurally organized. Previous meetings - which included brainstorming and strategy - commonly required multiple meetings. Upon implementing Miro, we can now complete all these session types in a single collaborative workshop, resulting in approximately 20-30% improvement in team efficiency.
- Miro has also increased the speed of project completion by keeping cross-functional teams (marketing, product, and sales) informed and aligned from the initial stages of development. As a result, we have experienced a decline in rework and miscommunication, which has led to faster marketing campaign launches and a streamlined process for onboarding clients. In addition, client interactions through visual workshops have led to improved client engagement, a better understanding of opportunities, accelerated our contract cycle, and increased confidence in our business.

Overall, we find that Miro's value has provided a significant ROI through improved productivity, faster execution, improved collaboration, and ultimately increased client success; thus enabling us to meet our business growth strategy and objectives.
Key tools that have had a significant impact on my daily work are: Sticky notes (a quick and fun way to map out and brainstorm ideas), templates (example: customer journeys, roadmaps, & workshop templates), which allow for easy, fast structuring of discussions and have helped reduce the amount of time needed for planning by having a pre-formatted template available. Real-time collaboration (where all team members can work on one board at the same time) enables greater speed and alignment across teams. Visual workflows/process maps are used to create a visual representation of the process or workflow, simplifying the complexities of both internal and client conversations.
Our reliance on many other types of collaboration and whiteboarding software has been significantly reduced thanks to Miro. In the past, we used a combination of presentations, documents, and multiple different tools for brainstorming and diagramming during planning and workshops. A majority of this work now takes place in Miro, resulting in much more streamlined and consistent processes. It has also changed the way we utilize the other tools we do use. For example, we typically start using Miro in the beginning stages for brainstorming, alignment, and process mapping. Only once there is clarity around the project will we begin utilizing project management or execution platforms. The result is greater clarity at the start of the execution phase and much less back-and-forth communication. Overall, it has simplified our tech stack, enhanced collaborative efforts, and decreased the number of different software programs that need to be switched back and forth during day-to-day operations.
Miro offers greater versatility and scalability than Mural and FigJam for cross-functional use. FigJam primarily serves design teams, while Mural focuses on structured workshops, and Miro supports a much broader array of use cases, including strategy, marketing, client collaboration, and workflow mapping. Miro was chosen because it offers a large library of templates, real-time collaboration features, many integrations, and can accommodate the needs of large, growing teams. This made it easier for us to create standardized processes, reduce the number of tools we use, and develop a single visual workspace for all planning and alignment needs.
