Nintex Workflow for Sharepoint

Overall Satisfaction with Nintex Platform

The Nintex Platform is being used in our organization for automating business processes across the entire organization that previously relied on paper. Using Nintex for automating our business processes has provided a lot of visibility into the process for the business users. For example, when a request that required multiple approvals was previously submitted, the requester had no idea where their request was at. Using Nintex they are always able to see exactly where the request is at in the approval process.
  • Account provisioning.
  • Approvals.
  • Data collection.
  • Deployment between development, test, and production environments.
  • Restarting workflows that have failed.
  • Workflows failing silently when trying to send notifications to users that are no longer at the company.
  • Added visibility into a process has decreased the amount of time a process takes to complete.
  • The ability to complete approvals via mobile devices allows our business users to approve their tasks from outside the office.
  • The ability to complete forms via offline mobile device allows our users to complete their required forms even when wifi and data are unavailable.
We currently have Nintex set-up in a dev and prod environment. One of our biggest challenges with using Nintex has been the deployment process between dev and prod environments. We have recently started using the ShareGate third party software for migrations, however now that ShareGate does not support the migration of Nintex Responsive forms, this has added manual steps that need to be completed during each deployment.
Non-IT staff is using the Nintex forms/workflows that our IT department has built, however, they are not building their own forms/workflows. We have found that including our IT staff to assist with optimizing the business process before automating the process using Nintex has been an important step in ensuring that the automated process provides maximum benefit to the business.
While Microsoft Flow has a lot of great features, currently Nintex has more functionality and flexibility available for workflow automation. For example, there are a lot more options available in Nintex when creating an approval task for a business user. The forms available in Nintex also have far more functionality than what would currently be available with Flow.
Nintex is well suited for automating simple processes that are well defined and don't have a lot of exceptional cases. I've found that it's possible to build complex applications using Nintex, however, given the amount of maintenance those workflows often require causes some of the benefits of using the tool to be lost. As well, given there is a max size that a Nintex workflow can be if you start handling a lot of exception cases for a process, you start having to chain together multiple workflows which also increases the risk of failure.
