Overall Satisfaction with Paylocity

We use Paylocity as our main HRIS, payroll processing, and time & attendance platform. The time & attendance system is user-friendly for our manager, has helpful reports for me to verify accuracy, and in just a few clicks, the hours are added to the checks. Most importantly, it can account for multi-state wage & hour laws and transfers between cost centers, positions, & rates. We have hourly employees in 5 states, and many of the work between different stores and positions within those stores. Having the transfers set up for them to easily allocate where they are and what they are doing makes it much easier to process their payroll accurately on my end. The payroll policies are flexible with different OT laws and quirky state rules like NY, Spread of Hours, CA break premiums, and Call In pay in the 3 states we operate in.

When I started at Milk Bar, the old payroll manager took 3 days to process payroll. They had recently implemented Paylocity, and she did not know how to use it to its fullest. In my 5 years with the company, if there are no manager errors, I can fully process payroll in less than 8 hours. This is due to implementing the Onboarding feature, so the employees and their hours are already in the system, implementing the time & labor system instead of using our POS, and scheduling reports to catch and correct errors quickly and accurately. The process went from very human to very automated, with the human (me) just double-checking the system. I also want to note that we had an i9 audit in 2020. The amount of wasted time and potential fines we avoided was incredible. We had to dig through our paper files for some of the old forms, but the rest that was done after we implemented Paylocity's onboarding were securely sent to us. We passed the audit with $0 in fines. Unreal!
We occasionally use Surveys, but our response % is not great. People just don't care enough to fill them out. We primarily use WiseTail LMS for our engagement, peer-to-peer recognition, community creation, and internal communication.
With the exception of Oracle PeopleTools (2010 US Census version) and CompuPay (I don't even think it exists anymore), Paylocity is the only system I have used in my HR career. I have never had the need or want to switch. Both companies I worked for used Paylocity, and I am very happy with the platform and services. I hope to only use Paylocity for the rest of my HR career!

The user experience for my managers and employees is simple, clean, and direct. Allowing them to make changes, find information, and own their Paylocity Supervisor Self Service and Employee Self Service saves me a lot of time. I use this time to make improvements on the back end. For example, we are rolling out the Paylocity scheduler soon to replace Hot Schedules. The integration and ease of use will help the managers track tardiness, and absenteeism, and save their time on manual set ups and reporting. It will all be in one place, easy to use, easy to manage - that is what I like most about Paylocity.

Using Paylocity

150 - HR, Management, corporate employees, & retail employees.
2 - We have a 2 person HR team that supports our company and employees with Paylocity. I manage time & labor, HRIS updates, and payroll. My colleague focuses on onboarding and performance management.

We designed specific training programs and guides to teach our managers and team members how to best utilize different aspects of Paylocity. I also schedule payroll and labor reports to be delivered to specific individual to support with their needs.

The day to day support is generally password resets, reviewing employee submitted data for accuracy (like employee actions, time card corrections, time off requests, and profile updates), and being the point person to contact Paylocity for escalated issues.

As the payroll admin, I also work with Paylocity support on things that I cannot do as an admin. Like tax notices, accrual updates, GL updates, and other system maintenance.
