Overall Satisfaction with Paylocity

We use Paylocity for our HRIS and as for running Payroll. We wanted to use it for recruiting purposes but that implementation did not work out. For an HRIS it is wonderful- clear for employees to use and easy for them to change their information and view their paystubs/tax documents etc. online and on their phones via the app. It is not clear, however for the administrators in charge of the system- things that should intuitively be there just are not- like an up-to-date PTO balance to see how much an employee has left without having to wait for payroll to process or forcing the employee to do math would be a welcome feature.

Pros

  • Clean and clear user interface via the Employee Self-Service Portal
  • Very easy to edit timesheets/time input
  • Very easy to onboard new employees (once you have onboarding tasks set up)

Cons

  • Payroll is glitchy- especially if you have more than two types of paid employees
  • I've found there's no way to make your own or fix PTO policies on your own- and they do not accrue time correctly
  • No "real-time" PTO displayed for employees or administrators, in my opinion.
  • Implementation was poor, I believe.
  • I believe it's too complex a product using outdated technology for the most mundane tasks
  • I now have to spend much more time on Payroll than in the past (days not hours)
  • I've found onboarding new employees takes half the time via through more traditional methods (paper forms- in person)
  • I have to spend much more time on the phone with customer service because I cannot fix most things on the back end myself.
The only automation that we currently use with success with Paylocity is the new employee onboarding module. This is a huge help timewise for me and for my organization which tends to have some seasonal turnover and also a lot of casual part-time labor in our employee count. Time tracking is also easy for our hourly labor- there are multiple ways for them to punch in and punch out and ways to alert them that a correction is needed.
Paylocity's employee engagement tools have not been used by us- I try to incorporate them in fun ways and try to get employees to utilize the Community section of Paylocity but most employees have not. I think we are going to start using employee surveys this year, but we have to learn how to use them ourselves first.

Paylocity is just okay, it is not the worst payroll and HRIS I have used, but it is far from the best in my opinion. One of my most major complaints is that payroll is much much much too complex. It takes me too long every single payroll cycle to run payroll and to check if it is correct. This is due to the inability to truly customize Paylocity to your business, I believe. I have asked multiple higher-ups and our dedicated account representative (who has been changed too many times and who is always "not available" when I call) for an audit of our account- I want to make sure that every employee is set up the way they should be in both Time & Labor and Human Resources & Payroll as we were left on our own at implementation and there are many mistakes I catch almost a year and a half later. We are told- no can do- we cannot audit your account, I've found. We are way too invested at this point in Paylocity and as a non-profit we do not have the budget to switch providers again. It is a shame because I believe this could be a good product, it just does not live up to the promises made in the sale.
