We have been with Paylocity since November, 2019. Overall, we are pretty happy with the system and all of its capabilities. Price-wise: When we first started the process of looking for a compatible, cost-efficient payroll platform, Paylocity was out of our price range. We were very transparent from the beginning that if they wanted our business they would have to stay within or below our current budget, we would have to go with a different platform, or we would have to wait till next budget-writing season and get it board approved. After working with our sales representative (Jason Carroll) for several months, they wanted our business, so between our sales rep and his manager, they were able to bring the cost (including the one-time implementation fees) to a little less than what we were paying for our old system.Implementation process: Implementation of anything is going to be time-consuming and grueling, and Paylocity definitely lived up to that. We had to stay on them and follow up on everything. We implemented HR & Payroll, Time & Labor, Onboarding, and Bswift Benefits. We got to the maximum frustration level with our implementation lead for HR & Payroll and Time & Labor, and finally were able to get in contact with their manager. Since then, issues were fixed in a timely manner. Service-wise (post-implementation): We have gone through too many "dedicated" account managers to count. I wouldn't even say that we have a dedicated account manager, which can be very frustrating, especially if you are a complex organization, and have to catch the different service reps up to speed each and every single time. Also, when you call in and get a new service rep on the phone, there is a chance that they will not be as knowledgeable and that can be frustrating. I tend to ask them to show me how they make changes in the system, so I can make the changes in the future. Certain changes do require Paylocity to complete, (i.e. time off accrual policies) and I will ALWAYS test and double-check the setup. There have been too many times that we have been told that something is set up correctly, and it hasn't been. So, test batches and test checks have been our go-to, that way we can be proactive with the errors, instead of reactive. Paylocity can handle our three different labor levels (department, funding source, and job title.) We are not currently utilizing the geo-fencing or geo-tagging. We are utilizing the start/stop time and bulk hours time entry, and a lot of our programs are using and liking the Scheduler in Time & Labor.Paylocity has an app that is easy to use and would be great for employees who punch in and out. We are just barely dipping our toes into the Community and Impressions portion. Community is kind of like a social media within the system that lets employees give kudos to other employees and shares birthdays and work anniversaries. We are excited to learn more about this.PEAK (Paylocity Education and Knowledge) is a wonderful resource for training and help. It works like a google search for how-to articles and videos for employees and administration.Bswift Benefits: We love that the open enrollment is all in Paylocity. Employees are able to go into Paylocity and elect or waive their benefits. It has been successful and all of the deductions feed over correctly to HR & Payroll for our first checks in the new year. We received a lot of positive feedback from the employees, as we previously held a benefits fair where we had to corral all of the employees and benefits providers at once to physically fill out all the forms. Recruiting: Recruiting module made it very easy to post positions using our existing Job Descriptions, which we entered into Paylocity. A significant time investment was required to do the set-up, but after that, I found the process of creating job postings, publishing them on Indeed, and assigning them to hiring managers to be very easy (much easier and faster than what we were doing previously). Compliance controls for the applicant and candidate tracking are built in, as are the EEO reporting features, which is very convenient!Onboarding module: Required quite a bit of upfront set-up, but that said, became a huge time-saver afterward, because it enabled our new hires to fill out all the new hire paperwork online prior to coming in for their new hire orientation. Performance Management: We have just started the process of using this module, but we haven't launched it organization-wide. I believe that it will really help encourage ongoing dialogue and feedback sharing between our employees and their supervisors. It contains some very helpful, relevant, and easy-to-use tools. This will also feed into the compensation side of the system. We do not have that set up yet, but we are looking into adding that module eventually. Learning Management System: This was something our leaders really asked for, and while it is still in its infancy (according to Paylocity), it already offers some great - and much needed - training tools that seem to be easy-to-manage. We ended up going with a separate company for our training module, due to Paylocity not having the full capabilities that we required as an organization.
