Overall Satisfaction with Paylocity

I am the payroll director for the company. We use Paylocity for everything to do with payroll and about half of everything to do with HR. One of the things I really appreciate is the ability to run additional payrolls off-cycle without incurring additional cost. That was always a big problem for us with our previous provider. That alone has solved a multitude of problems. Our company is under new ownership and the demand for reports for everything imaginable has been overwhelming. Paylocity has made this burden much easier to bear as I can get the data needed easily, even if I sometimes have to combine data from different reports into one. That is not a hardship and is not a fault of Paylocity. It is the scope of the type of data they want on one report, i.e., HR related data combined with payroll process data.

Pros

  • Support has been exceptional.
  • Ease of the payroll submission process.
  • Ability to find information quickly on an employee.
  • Love the increasing number of dynamic reports. Please keep them coming.

Cons

  • I would like to be able to use the return key in stead of having to click on the search button when in an employee payroll or HR file. It works occasionally but inconsistent. It used to work almost all the time so that is functionality that went away.
  • The increased amount of security is understandable in most cases but it seems to have gone overboard. I am the company administrator and I have to get through security to edit an employee address or just look at their work location. That is ridiculous.
  • I would like more dynamic reports, although has been improving.
  • I would really like to be able to make a copy of a standard report and then edit/modify the copy. Often the standard gives me most of what I need and a couple of small additions or changes would make it perfect. I often cannot duplicate what the standard report does so it is impossible for me to create the report that I really need. I end up running more than one report and then merging them outside of Paylocity. That is extra work I would like to avoid.
  • When a terminated employee is rehired I would like their security group to automatically change back to employee and their access enabled under User Accounts. I am constantly getting calls about this when rehired employees cannot access the employee portal. The person rehiring them does not have the security clearance to go into user accounts and manually change this. Obviously, if we have rehired them we want them to have access again.
  • I would like to be able to assign a level 2 cost center to each position. This avoids mistakes. Many other things are assigned to positions so I don't see why this couldn't be as well.

We do not as many of the HR features as we would like. Initially, the cost of the features was the reason for not using them. Now that we are under new ownership, many of those features are handled internally and automated. For instance onboarding, recruiting and ATS; leave and attendance approval; as well as expense approval, tacking of physical assets, performance management, succession planning, and performance and goals.
Not many of our employees use this, or the employee self service portal in general, even though they are well aware of it. I believe it is the nature of our business. Approximately 95% of our employees work in the client's home and have little exposure to other employees, even the administrative staff of the remote office they are assigned to.
The cost of doing business and quality of customer service is much better with Paylocity than either of the other two companies. I don't know the other vendors the company has used, although I know there at least a couple more. They tend to stay with a vendor for quite a few years before changing and there is always a catalyst other than cost that triggers the change. The company is about 40 years old, but obviously, none of the staff have been here for that length of time. Even the original owners are no longer here so I am limited to the history. I do know that for several years they did payroll inhouse.

Paylocity works really well for a company our size (approx. 600 employees). I think if we were to triple in size it would likely work just as well. Especially if the changes requested on a prior question were implemented. Some things, such as being able to e-verify an employee, is tied to using the onboarding feature of Paylocity that we cannot use, due requirements of the new owners of the company. That means we have to everify outside of the payroll system. This is the one thing our prior payroll provided did that is better than what Paylocity can provide. Bundling features is understandable but it would be nice if some functionality could be used outside of the bundle to accommodate the needs of the customer.

Evaluating Paylocity and Competitors

Yes - Paycom - We replaced them due to the number of errors made by them, customer service was not up to our needs and the cost of doing business with them was too high for the quality of the product and support provided.

Everything that we required was included in one monthly fee. The ability to run off-cycle payrolls as needed at no additional was a huge part of our decision. In essence, they were not going to nickel and dime us with hidden fees.
I owned and managed a payroll service for 15 years so I know exactly what to look for when evaluating a payroll service provider. I would not change anything I did when I was asked to evaluate and select a new vendor. My only limitation was I was given 3 specific vendors to choose from.
