Overall Satisfaction with QuickBooks Online Advanced
QBO Advanced is our nonprofit's financial record-keeping solution. We have been using QBO for about 10 years and switched to Advanced in June 2020. We needed access to more users and classes for program tracking purposes. We use QBO to send invoices for programs, record donations, and track bills. Our accountant uses what we have entered to help us fill out our 990.
Pros
- Invoicing for various programs
- Sending invoice reminders in bulk
- Tracking sales receipts
- Tagging items for more detailed reporting
- Easy to create reports
Cons
- Reports are not as customizable as sometimes needed
- Native import/export features would be great rather than having to pay for 3rd party app
- The regular search is pretty useless, I always use the Advanced Search function
- Memo/Description are 2 different fields but various reports use one or the other and it's very hard to remember which ones use each. This is very annoying.
- QBO Advanced with more classes helped us track individual programs
- Tagging allowed us to track soft credits to more effectively acknowledge donors
- An overview is a great snapshot of the behind-the-scenes info that helps us communicate more effectively with our accountant. It will help prepare for [future] audits.
We switched from QBO Advanced to QBO Essentials. It would have been a straightforward upgrade, but we utilized a nonprofit source. Our accountant helped us backup our current data to a QB desktop version and then imported it into QBO Advanced. Almost all of the data was preserved and it didn't take long to accomplish this. We knew going in a few things wouldn't transfer. I'm still discovering features in QBO Advanced that differ from Essentials. I learned QBO through a few sessions with our accountant and just trial and error. I am not a trained bookkeeper but I was able to figure out how to redo our Chart of Accounts to match our business better and didn't break anything!
We do not use QBO Adv with our employees.
There is a nonprofit version that we use that satisfies our business needs. It refers to customers as Donors and invoices as Pledges which is a little odd at times. The Profit & Loss Statement is renamed as Statement of Activity.
Advanced gives more flexibility in the number of classes utilized for reporting. There are more advanced reporting features and tagging. Easy to transition up.
