Overall Satisfaction with UltiPro
UltiPro is our HRIS and Payroll enterprise solution for The Co-operators group of companies. This covers 9 legal entities. The software as a service product is used as our foundational system for Core Payroll, HRIS, Performance, Succession, BI Reporting and Time and Attendance. We have a roadmap to integrate Salary Planning, Recruitment and Onboarding in the next 3 years. UlitPro was initially selected to act as a single source data product that would improve our time and attendance tools from paper to system and to increase our ability to delivery on strategic HR tools in the talent management area.
Pros
- Core Payroll - The processing engine of pay meets the needs of our payroll requirements with minimal customization. We were able to configure the system to handle our multiple legal entity pay outcomes.
- Business Intelligence Reporting - With the attached Business Intelligence capabilities reporting can be done directly from the source data. There are many canned reports but having a skilled on staff report analyst allows us to create our own reports using the attached BI reporting tools.
- Single Source Data - This ties to having all legal entities in one system and having core payroll and HRIS data in one spot. Several of our past inefficiencies have come from having multiple systems for each of payroll and HR and by legal entity. By consolidating data to one complete system, compliance, system upkeep, processing of pay cycles and data reporting processes have greatly improved. Single source data is more than reporting, it prevents the duplicate entry of data into multiple systems and allows for consolidated views of your enterprise data. Our introduction of Ultipro was coupled with the introduction of an Enterprise Shared Service Department to get the maximized use of the combined data
- Excellent Account Support by the executive relationship manager and the customer success manager. After implementation we have felt very supported on all aspects of daily operations. The support teams are responsive, help identify which Ultipro resources are needed for support vs. service requests and new work. They take a holistic approach to meet your needs as a partner.
Cons
- More Configuration on the Talent Modules. When you buy a SaaS solution you need to expect that your best outcome is to adopt the modules provided by the vendor. If you plan on making numerous changes to the functionality you run the risk of frustration. Having said that, the talent modules of salary planning, performance and succession are fairly restrictive. And when I say restrictive that means when you are trying to bend existing programs into UltiPro's format. I believe that UltiPro offers good out of box functionality and for anyone with no existing programs you can rely on UltiPro for good functionality. UltiPro has been increasing the ability to configure fields and add data elements in the Core but the Talent Modules are more locked down. The benefits of this are that you get updates on a regular basis and UltiPro does a good job of incorporating feedback using client forums to enhance the product two times a year.
- More Consultative Approach on Time and Attendance Module. The Time and Attendance Module, UTA, is a very robust toolset. It offers lots of functionality. The support model for UTA is slightly different than for CORE Payroll. In CORE UltiPro resources train you to configure your own outcome. For UTA you rely on UltiPro resources. It is very important to have clear requirements and it would be ideal if UltiPro resource could spend a bit more time up front to capture and recommend best approaches for the implementation. More upfront knowledge on pay groups and calc groups to allow you to narrow your configuration to isolated groups that required different schedules etc. There is a large role of the purchaser to be prepared with requirements which can be a challenge if you don't have documented processes prior to any conversion
