ActiveCollab

Scenarios where ActiveCollab works well1) ActiveCollab works well for small teams specifically T&M teams. Its invoicing feature is unique & can make your life easy.2) It is very easy to use & posses good range of filters like on the task list, we can drag/drop tasks, Filter by assignee's,
tasks lists, due dates, or completed tasks. 3) It has some simple but awesome features like when you're in
the middle of writing something i.e a comment on story and get interrupted,
it retains what you wrote.4) It allows you to tag team members in threads of comments to grab their attention, its really needed when teams are distributed. Thus helping team members to collaborate easily & stay on same page.5) It integrates pretty well with other web apps like quickbooks , Slack, Trello, HubSpot, Zapier etcScenarios where ActiveCollab did not work well1) Tasks can not have multiple assignee's here so if two members are working on same task it did not allow you to reflect that.2) Sorting capability is not their under invoicing3) It did not work well for larger teams4) Search option is not very detailed & you may end up wasting lot of time searching one particular bug or issue.

Microsoft Project

For complicated projects and those that are mission critical for an organization, it provides the discipline to complete project management tasks. If a company is worried about scope creep or scope risk, MS Project will be an aide to track progress, add steps, report to senior leadership and get into the weeds while also providing a summary for senior folks.

Pros

ActiveCollab

  • Great for project and task assignments, project workflow and communications.
  • Solid web-based platform that doesn't require software downloads, also includes great mobile platform.
  • Great reporting tools for managing billing, estimating, project workflow and other essential project details.
  • Allows for both the agency and its clients to interact on a single platform using role-specific permissions.

Microsoft Project

  • It is part of Office365 subscription. The look and feel is similar to other tools like excel. Helps in creating project plans, Gantt charts, work break down structures etc.
  • Helps in resource allocation and tracking the projects. There is an option to use it to capture timesheets too.
  • Helps project managers in producing weekly status reports and integrates well with other collaboration tools like Skype, sharepoint etc.

Cons

ActiveCollab

  • Search functionality - The search functionality is not so promising and I'm unable to find the tasks/items that I need even though I use the keywords that are in the ticket/comments -- Definitely something that needs to be improved.
  • No snooze functionality for tasks - If you work on multiple projects and deal with large number of tasks/tickets then things can get messy in your "workspace." An easy feature that can resolve this is to add snooze functionality. That way users can snooze tasks and optimize their workspace until when they really need to work on the task.
  • No ability to color code tasks - I'm a visual person and deal with a large number of tasks on ActiveCollab. Seeing my huge pile of tasks in the same color makes me lose track of things and slows me down. It would be very helpful for me if task color coding was added to Active Collab -- I'm sure there are others out there who benefit from this feature, too!

Microsoft Project

  • Remote work can be challenging - as Project must be downloaded to a specific computer.
  • Upgrading to the top of the line version can feel like a requirement. There is a lot of functionality that is not available unless in the most expensive pay-tiers.
  • Microsoft Project can be extremely expensive on a per user basis. Other tools can be much more cost-effective - especially for more basic project management needs.

Microsoft Project was for many years the reference tool when you were talking about project management software, even if it has some gaps. However, in the last several years, other tools emerged and covered those gaps and are getting more and more users. Microsoft needs to keep up with the trends as they did with adding Project Server. However, that needs a significant rework.

Even though we have not contacted directly the manufacturer for support issues with Microsoft Project, every issue or doubt that has came up, it has been easily resolved by doing a quick search over the internet and forums, that is one of the advantages of using a very popular product.

Alternatives Considered

ActiveCollab

ActiveCollab is 100% better than any of the other tools we have used. We had previously spent thousands of dollars trying out different software that was comparable, but this has been one of the best decisions we have made as a company. It's also the cheapest ongoing option, especially if you get the self-hosted version.

Microsoft Project

Trello and Wrike are cheaper alternatives, but I do not consider them true project management software. They can certainly work to organize tasks, and they are collaborative, which is something MS Project lacks, but they lack the depth and, in my opinion, the actually necessary features of a project management tool. Trello doesn't even have a Gantt Chart natively, it requires an add-on.

Return on Investment

ActiveCollab

  • ActiveCollab allowed me to get rid of spreadsheets and physical reports that always take away a lot of time.
  • The automation of the management processes of the company is fantastic thanks to ActiveCollab.
  • The whole team has focused more on the execution of its activities.

Microsoft Project

  • On the projects that I dealt with, Project had a positive impact on the overall business objective, allowing realistic estimates of the duration, personnel, equipment and materials extremely important for the preparations of responses to RFQs (Request for Quotations), ensuring that the company is not capturing a contract for work that the company is very well capable of performing, however, due to a bad quotation, is not going to realize any profit.
  • Once a contract is awarded, Project again had a positive impact, by allowing the construction of a correct WBS (Work Breakdown Structure), the personnel requirements, the identification of critical paths, the budget to be allocated and the creation of work orders (WOs) used by team members for weekly reporting of the hours expanded on the project , the purchase of equipment sufficiently in advance of the date when it will be needed and the identification of specific personnel required to be assigned to the project team, as per they specific skillset, and also when each member must start working on specific segments of the overall Work Breakdown Structure.
  • Once the project started, Project was invaluable in monitoring the actual progress of the project in comparison with the very initial schedule and its milestones, the identification of slippage and enhancing an early advance for the formulation of solutions required in order to pull the schedule back.
  • Project also was highly beneficial in creating practically automated financial reports of expenditures to date, such reports being of high on the priority list of higher up management.
