As mentioned previously, I currently developing an Airtable base to track student data and other teaching resource inventory. The children create year group databases. All of which work very well. I haven't encountered any issues or unsuitability thus far.

Todoist

Todoist is nice in that it is very easy and straightforward to use, which is one of the main pieces that people need in order to adopt the use of a new tool across an organization. It is very clear on how to create and complete tasks, and how to set labels, archive tasks, and assign tasks to others. So for those that are thrown off by lengthy spreadsheet project management models, Todoist is a great tool to consider, even for a trial period or demo! Todoist would not be for someone that wants to plan out projects at-length with more typical Project Management-related software, whether particular to software development like sprints in Atlassian's JIRA, or in design or business roles in a highly visual and sharing-focused program like Monday.com. In these types of programs, you have a lot more visibility and project-focused visualization and feature sets that are required, whereas Todoist's strength really lies in getting people away from paper lists that have you constantly flipping back and forth between the pages, and get you into the digital space to keep track of things for people before, during, and after meetings, or on top of assignments that you have to hit by a particular deadline.

Pros

  • The website is very well laid out. It is uncluttered, easy to navigate, and is highly visual. There are a great range of field types and add-on blocks.
  • Setting up bases is very straightforward. If you get stuck the help section and videos are excellent. You can also access Airtable Universe to see examples of how the product is used by others.
  • I have submitted a number of queries by email and in each case the staff were very helpful and responded quickly. Given that I was using a free account at the time, I was very impressed.
  • Given that I have used the product with very young children successfully, I think that it is extremely well designed.

Cons

  • entering a single record seems to have to be done across several screens. Perhaps just the way we did it, but would be easier if it were all done on one screen
  • can't figure out how to "hide" a record once one of the people we are visiting dies. We don't want to delete the record, just hide it from the primary view.
  • eventually, it would be great to be able to integrate into Gmail--eg to hit the email address and have that transfer to an email...but perhaps not possible without permission from google...

  • Only offers due dates, not defer or "start working on" dates
  • Some icons are too low contrast and incredibly hard to see
  • Fluctuation in paid vs premium features can make it hard to decide what account type is best for you

Sometimes, I have to wait a bit longer but I'm on a low priced option so I understand why. Generally, they're able to provide me solutions to my problems as long as I'm not in a rush.

Alternatives Considered

It wasn't until I became aware of Airtable that we found a solution that allows us to implement the best features of a collaborative RDBMS with our staff who don't have any training. I had previously used Zoho Creator and found that it was difficult to onboard new users because of a steeper learning curve.

Return on Investment

  • We are still in the early stages, but AirTable has allowed our small team of five to coordinate almost twice as many rentals of our gallery space for private events, thus providing out nonprofit with increased income that can be reinvested into improvements to our gallery and new programming.

  • Todoist has ultimately been a neutral for me. While I like some of it's features, like e-mail to Todoist or timetracking, there just wasn't enough there to justify purchasing a Pro subscription. I ended up finding similar solutions through Google's Task & Keep products.
