Google Drive

Google Drive is great for teams on the move, who might now be able to sit down with one another in the same room and look over a document together. It saves versions so that even if you make a mistake, there is always a past version saved for you. Just keep in mind that the larger your team, the more people will be editing the same document, which can get messy if you’re not careful.

Cons

  • While S3 has a huge list of available services, the services themselves tend to be lacking, such as the web server capability being able to only host static HTML content.
  • The additional capabilities have gotten a bit "out of hand" in terms of the amount of services available, which seemingly follow no particular grouping, which can make venturing beyond basic S3 storage services a daunting, and confusing endeavor.
  • Not having any storage "packages" for serving data is a big negative, as we would feel more comfortable with a set package, and a known monthly cost, rather than a fluctuating service billed by time x data.

  • Team Sharing: While it's great that you can share your files with your team members, there isn't the concept of a shared drive. I would like a more traditional "file server" like setting where no one owns the specific document. I would like to be able to create, or move, a document into this space and allow my team to access it by default.
  • Natural Search: I might be spoiled, but Google is the one that spoiled me. The search can take some time to get used to. I can't always remember which criteria needs to come first in my search query.
  • VIP Tags or Folders: I have multiple documents shared with me everyday. I would like to be able to add something to a document from specific owners so I don't lose their document in with all of the others.
  • Shared vs. Not Really Shared: You can send someone a link for a document that everyone in your organization has access to. But unless that document is specifically shared with you it's not added to your Shared with me folder. This means that sometimes you have to go back to hunt through your messages to find it.

It's an extremely easy software to implement, once you sign up for a google account you automatically have access to google drive with a set amount of storage space. The business or Google Suite accounts have more storage space than a regular free account, but setting up and accessing google drive is very easy in both cases

Alternatives Considered

S3 is still being used within our org but we have dialed it back heavily due to the inexpensive competing product CloudFlare offers. CloudFlare is basically free for the same functionality and the company has matured to the point where it is reliable and scalable, plus CDN distribution is their bread and butter on top of that. If we were starting over today I'd start with CloudFlare.

Dropbox is a great alternative to Google Drive for collaboration and tracking real-time document changes. However, Dropbox only provides 2 GB of free storage space before it starts charging a fee while Google Drive offers 15 GB of free space. Overall Google Drive has all of the storage and collaboration tools I need while allowing me to save on the price.

Return on Investment

  • Interaction between Ruby on Rails and the Fog/Carrierwave Gem to upload images is a costly, manual process for the team

  • For the organization it is essential to use this tool. We avoid many expenses in nonsense technology.
  • The saving in time and money is evident and for this reason we occupy the budget in other activities.
  • The commercial relations with our suppliers are more fluid and therefore our services increase by a good percentage
