Overall Satisfaction with CodeTwo Email Signatures 365

We migrated from an Exchange server cluster to Microsoft 365. There was no company standard for signatures and banner management, if you can even call it that, was done through one of our webhosting spaces.


CodeTwo Email Signatures 365 allows us to consolidate our signature management and standardize signature content based on up-to-date employee information and business unit requirements, from multiple M365 tenants. Our marketing department can now also configure temporary event-related signature changes without having to engage the IT department, streamlining the process reducing the workload of both teams.
  • The rule-based signature processing is very flexible and allows for advanced assignment flows.
  • Multiple signature variants can be used for one e-mail based on flow, recipients, keywords, etc.
  • Set-up is straightforward and easy, while still allowing for manual modifications when desired.
  • No-nonsense pricing and sales process.
  • There is no version control for signatures.
  • The editor has no 'undo'/'redo' functionality.
  • There is no possibility for more fine-grained control of access, e.g. signature access without rule access or vice-versa.
  • Since implementation, there has been a significant reduction in signature related tickets.
  • Implementing the solution allowed us to finally shutdown a legacy system that was a core part of the legacy signature delivery.
  • Our marketing department has more freedom in aligning signatures with our business units' brand identity.
  • Our HR department is happy with the better, more up-to-date information in the signatures.
Big factors in our decision-making were multi-tenancy support, pricing, dynamic signature processing, workflow consistency and the ability to access the raw html if needed. CodeTwo Email Signatures 365's cloud processing specifically offers great flexibility and allows us to offer a consistent experience, no matter the user's preferred client.

The other solutions we tested did not meet these criteria. Either their pricing was not competitive, they do not support mobile devices, they lacked dynamic/conditional signature processing, they don't offer access to the signature source etc.

For most businesses, CodeTwo Email Signatures 365's signature solution would be a well-suited and logical pick. The solution is easy to set-up, fairly priced and a breeze to work with. A simple deployment is up and running in minutes, while more complex flows are handled without issue.

Only situations where very high access-segmentation requirements are present, would not be served by the lack of better access control in the solution.

  • We initially did not realize the extend to which we could dynamically configure the signatures. It has allowed us to really fine-tune the part the signature plays in our e-mail communication.
  • We don't use the auto-responder functionality currently, but we do see some potential use-cases for our environment.
The solution is pretty much set-and-forget. It does what it needs to do, nothing more, nothing less, and it does it very well.

The flexibility to handle our complex corporate group structure. We are a global entity with multiple companies operating under multiple brands, located in multiple regions, speaking multiple languages.

We can fine-tune the signature processing based on mail flow, sender attributes, recipient attributes and message keywords.
We wouldn't change anything. We are very happy with out decision.

CodeTwo Email Signatures 365 Implementation

The set-up process is easy to following, allows pausing without losing progress. Offers the ability to perform certain actions automatically, while still allowing to do these actions manually if desired.

Change management was minimal - There is minimal change management involved in deploying the solution. The only major part is the need for a M365 global admin account if the required integration resources are not pre-staged in the M365 tenant.
  • One step performs a Powershell action behind the scenes, which was flagged as suspicious because it was seen as irregular behaviour for the associated account. This event was expected however and not a fault of the solution.

Configuring CodeTwo Email Signatures 365

As far as configuration options go from the perspective of getting your corporate signatures in order, CodeTwo Email Signatures 365 does everything it needs to do. Nothing more, nothing less. Every action is straightforward both in execution and how it is communicated through the UI.
For the vast amount of environments, using the automated actions during the guided setup is the way to go. They make sure the required resources in your M365 tenant are correctly created, and in the event these resources need to be removed for some reason, CodeTwo Email Signatures 365 will do the clean-up automatically.

There is one aspect that I would like to highlight. For tenants that are configured with conditional access policies, it is a good idea to keep the relevant policy logs open during setup. CodeTwo Email Signatures 365 may trigger suspicious activity alerts, even if it the account used during setup passes all conditional access requirements, because of the way it needs to perform certain automated setup steps. This will help reduce troubleshooting time when one of these steps fails.
No - there is no facility to customize the interface
No - the product does not support adding custom code
We assign the signature functionality based on group membership. If an account is not part of this group, their mails don't even get send to CodeTwo Email Signatures 365. While for most organisations, they can use the CodeTwo Email Signatures 365 defaults, we were happy to see that CodeTwo Email Signatures 365 accounts for a situation like this during the setup process.

Using CodeTwo Email Signatures 365

The solution is very easy to use. It requires no actions from the end-user in our configuration and our only annoyance from the technical side is that there is no version control or the ability to 'undo'/'redo' changes in the editor.

There is no complicated sales process. They're transparent with their pricing and their communication is straight to the point.
There is not really a need to engage with CodeTwo Email Signatures 365 after the initial setup. The product is so straightforward to use, our initial setup took 20 minutes and we did not encounter any issues during this.
CodeTwo Email Signatures 365 was open to provide a three-year contract and we received a fair discount based on our commitment. There was no p other pricing negotiations. CodeTwo Email Signatures 365 advertises transparently how much the solution will cost and the pricing is very reasonable. The purchase was a no-brainer from our side and the time we would waste on a negotiations would be more worth than any potential savings.
