Dropbox

For my company, Dropbox was nearly ideal. The main problem was the price. Our IT department could not justify keeping it for all departments, so in the end it was only specific users or departments that were using it. This led to some inconsistencies within the organization, as different people shared cloud files in different ways. However, for my department's needs, Dropbox was essential. It was the only service available to us that was fast enough, reliable enough, and full-featured enough for our needs. It is excellent for both cloud-based project collaboration and cloud-based file sharing. For single-user setups, Dropbox may be overkill. There are cheaper or even free alternatives that may meet the needs of many users.

Nextcloud

Nextclod is a very reliable solution to manage client and organization data, the cloud platform allows to manage files and organizational data efficiently. Easy for individuals who has less experience or computer literacy to cope up with the application and to flexibly manage or operate while for those who wishes to minimize privacy measures related to data stored in the cloud. It’s available on most platforms and provides add-on facilities and effective integration to additional setups which can be connected to manage company or business requirements. However, it's less appropriate for single users to host because appropriate hardware is required for hosting and other services.

Cons

Dropbox

  • Our repository has grown with time. Replicating the entire repository on a new machine takes a long time.
  • You can share with people outside of Dropbox. That can be confusing for people who don't use Dropbox.
  • It would be helpful to have better differentiation between personal and work files.

Nextcloud

  • Some of the functionalities that are essential is being hidden from the viewable user interface. User experience needs to be improved for options in operational features.
  • User interface isn't great and during conflicts sometimes local files are being renamed.
  • It may take a large time to sync incase theres a file conflict.

Dropbox is a user-friendly, easy tool which requires little to no skill and they offer a free version with a good amount of storage available. There are other file sharing tools available however at a cost. Dropbox free version I have used for years and it serves every purpose I need.

Dropbox is dead simple to us since right out of the box, it creates a folder on your PC and anything added to it gets synced to the cloud and any other device signed into that account. You can then dive deeper into permissions, version history, etc. Overall though, the minimalist approach is welcome since not everyone we work with is highly technical and that itself saves us time and money. Many of our colleagues already use Dropbox for their personal cloud so no training is required when using it at work other than going over our own company guidelines and best practices.

Dropbox is really useful, you can access any file from anywhere and you can upload and even edit files online, but, sometimes it can be slow. Downloading, uploading, and syncing is a bit slow, it can take several minutes. Furthermore, the search engine for large amounts of data can be slow too and it is not powerful.

It has not been necessary to go to customer support lately, since everything works perfectly. However, I must add that at the beginning when I started using Dropbox, and I had any doubts about how it worked, customer support was always attentive and found the best solutions effectively.

I never needed support as everything always worked fine. The documentation on Nextcloud website is extensive and clear. The community is very active on the forum and should support you if you don't already find what you are looking for.

Alternatives Considered

Dropbox

While Amazon Drive is frequently faster, it has less friendly user interfaces that our employees have difficulty understanding. Dropbox has a largely intuitive user interface that employees are able to use effectively. DropBox offered better customer support than AmazonDrive, which was another factor in making the purchase. Finally, more employees were already familiar with Dropbox (having used it in their personal lives), which made the transition for our business worthwhile.

Nextcloud

We prefer Nextcloud over Trello and Google Workspace as Nextcloud is considerable easier to use, access and manage. Tools like Trello and Google Workspace come with a powerhouse suite of products that are designed to work together. Nextcloud offers a solution that is just the tools you need to work, without the tools you don't. While beta testing Nextcloud we found the UI easy to navigate without overbearing tutorials.
