Notion aims to present users with an all-in-one workspace — for notes, tasks, wikis, and databases, from Notion Labs in San Francisco.
The positive and negative feature lists are why I give Insightly a nine out of ten. A LOT of the features are unique, but the ones lacking affect how I envision the perfect workflow for my team. My job is to create and streamline processes for my team; with AppConnect, I'm hoping a lot of the manual work is taken off their plate so they can focus on the essential things. I really hope Insightly implements a true "reply to email" feature in the future.
At the company I work for, we use Notion as an organizational base for all sectors and projects. For example, we use it for the marketing team, customer support team, among others. And for each one, we can create pipelines, tasks, due dates, execution time, tags with different colors. It's something very versatile that helps with everything around here. We've even created a sales funnel in Notion.
I use Notion on my personal tablet, and unlike on the computer, I have a lot of difficulty editing backgrounds, GIFs, and page dividers. It's not as user-friendly, and often the elements end up cut off or misaligned, which is frustrating.
While the current calendar feature is helpful, I'd love to see more customization options. The Google Calendar style isn't always ideal, especially for tasks without specific times or for ongoing projects that require daily maintenance.
It would be fantastic to have more flexibility in customizing Notion pages. For example, I'd love to create planners with the freedom to add illustration boxes, stickers, or GIFs without being restricted to a fixed layout.
Insightly offers a great product; it's the right fit for our company at this time. We were, however, considering moving to Contactually due to their cost effective automation features. However, they lacked the project management capabilities of Insightly. As our company grows, we would love to stay with Insightly - and if they can nail the automation and add the ability to customize a little bit more, it would be the perfect solution for us. For a larger company with a more involved sales team, you might find the metrics/reporting to be a bit basic. Insightly offers great customer service even to free customers
There is really nothing as far as customization to the system that we cannot do. It's extremely easy to customize as well as use. Anything we want to add or remove to our Objects can usually be done in a few minutes or less. You can tell everything is very well thought out and was made to be modern and up to date.
Notion addresses most of our needs and help teams to organize their tasks, track their progresses and then archive for future reference. The company uses Notion to share announcement, holiday schedules, employee contact information and organizational structures. Everyone finds it useful and helpful. The notifications are instant. Reminders are on time.
The provider is 100% available, with no downtime, maintenance, or unexpected outages. We have been able to perform solid continuous services for 12 months without any interruptions. We have backups as well, unlike the in-house backup that they keep on their end. I believe they have a very good redundancy and backup infrastructure in case they get any outages.
Pages normally load quickly, but every now and then, as entering updates to fields, it take a while to update. Sometimes even after refreshing the screen, we have to exit and go back in to get the fields or queries to update.
We have used Insightly for almost 2 years now. We have always been able to get in touch with support for a variety of reasons and they have never disappointed us. The support staff have always been very understanding. They have assisted with answers to our questions and have provided great tech support. We would highly recommend them.
Well, we didn’t get the chance to do this in-person training but rather one-on-one online training with HR in-house. There were PowerPoints to discuss as well as video instructions on how to use the app, so it was okay. We were able to play around with it during the training or onboarding session.
I've used Insightly's online training &/ or learned as I went. I've found the blogs and online written material helpful. I've also attended a few webinars, which can be useful if you use a J-I-T approach so as not to overwhelm you (or your staff) with functionality that you are using just yet. The fact that it's all available on their website and you can learn at your own pace is invaluable

Insightly has far more modern applications than GoldMine. It allows for more customizations. Our reports are nicer looking and it seems much more user friendly. Insightly also seems to be more than just sales focused. GoldMine seemed to really be geared more towards a sales staff. Insightly has more capabilities for our future needs as well
Jira is a great tool, that is probably more robust than Notion and more scalable. But for a small company (under 50 people) the investment is hard to swallow without a significant revenue stream justifying it. Notion is a perfect low cost option that meets 80% of the capability, and that extra 20% is not needed by most organizations.
I don’t have the exact answers for this, but our accounting or finance department negotiates this. They always handle this kind of stuff and negotiate yearly licenses. Usually, they purchase 10 licenses in bulk and ask for a discount in bulk. Other than that, if there are any issues encountered on the app, they account for that. If it’s broken, that’s also taken into consideration when renewing the contract.
(+) Being able to download my LinkedIn connections was a huge benefit. (+) I use the task function to stay on top of my follow-up activity which is another positive feature. (+) The sorting capabilities also help me pinpoint the contacts that I need to stay on top of. (-) When I add a new lead from an existing organization, I would like the organization's information to automatically populate the fields like address, website, description. I enter all that information manually. (-) My mass mailing experience has been tedious due to the email function being interrupted and crashing due to bad email addresses in some of my records. (-) Many of my leads do not have current email addresses. I wish Insightly offered a tool to help find email addresses. I spend too much time researching to find email addresses.
The first positive impact of using Notion is saving time and increased productivity. Since switching to Notion, I spend less time searching for notes, tasks, or messy documents. Everything is in one place, making my workflow at least 30% more efficient compared to using multiple apps.
The second positive impact is a better organization (and it leads to fewer missed business opportunities). Before Notion, it was easy to lose track of ideas, follow-ups, or small tasks. Now, I rarely forget important details, which has led to more consistent execution of projects and fewer last-minute rushes.
Because Notion’s free plan has been more than enough for my needs, using the free plan has another positive impact on ROI for me. If I had to replace it with separate tools for note-taking, task management, and project planning, I’d likely spend $10–$30 per month on multiple subscriptions.
Although they are very few, Notion has some negative impacts or limitations on ROI. I think the most important one is the offline mode issues can interrupt productivity. There have been times when I needed to access an important document while traveling or in a meeting with poor internet and couldn't. This led to delays or extra effort to work around the issue.
While Notion is fantastic for organizing work, it's not a full replacement for spreadsheets, collaborative docs, or task management software in all cases. This means I still need to use some other apps for specific tasks, which slightly reduces the efficiency gain.
If I need to give some figures; Notion helps me at least 3-5 hours per week to save time; $10–$30 per month by not needing multiple apps. Even with some limitations, Notion has had a net positive impact on my productivity, organization, and overall efficiency, all at zero cost!
