Likelihood to Recommend When it works, It's without a doubt a great help desk solution. It is perfect for our usage, and have rolled it out company-wide. It's great if you have multiple departments. We have it set up so most items come through a single desk that then hands out tickets to their proper department. There may be cheaper options for smaller organizations but for one that is as service-driven as ours, we really think Kayako is a great fit.
Read full review We searched different CRM platforms and noticed that ZOHO was well-priced, but some reviews said it didn't support forms well. IN our case, we already had forms on our wp site, so we did not need to use that aspect. instead, we used an integrator, so I don't have a review on that aspect of the CRM as we're not using that feature. This works for our company, so we are not using the standard automation with zoho forms
Read full review Pros Gives a very good report on an individual level of what is being done for a customer or corporate issue. Easy to understand who has what, what the tickets are about, how long they have been opened and how many times the customer/employee have gone back and forth with each other. Nice dashboard view. Read full review Zoho CRM has so much space to capture lots of information. Zoho CRM can be customized for your organization's needs. Zoho CRM is great for running reports to help make business decisions. We love all the different dashboards we can create. Read full review Cons Departments need a bit of work. Even though you can have multiple departments, the only changes that can be made are globally. If you want independent queues within the departments, you have to do a lot of work that can be very confusing. Survey system is not up to speed. Kayako really needs to add Net Promoter Score into their system. Also, if a staff user removes their name from an incident ticket, it removes them from the survey so you really can't even get a good estimate of how well your staff is in the eyes of the customer. Very difficult to implement when you already have a customer base. Setting them up in organizations is difficult. Also, the sign-up for new customers is quirky. If you send an email to Kayako, it will say you are not an authorized user, however, it will store your email address. If you try to send an email a second time, it will go through. This is one of many reasons why we decided to move from Kayako to Oracle Service Cloud. Read full review requires an initial input of information about a potential client - this would be better if it auto-filled with the quote request's information can be a bit confusing navigating the stages of a potential sale, but not too bad a tab or link to all open sales quotes would be nice Read full review Likelihood to Renew We are grandfathered in on their old Software-assurance pricing and our continued use costs us only a few hundred dollars a year (excluding hosting expenses) Our team's processes are now heavily ingrained in the system We have not been shown a more compelling option that is more cost-effective while still offering all the features we've come to expect Read full review Zoho has been a wonderful tool for us for several years and there is so much more we can do with it. New features are released often which give a team like us the option to further fine tune our business process management techniques. I honestly couldn't imagine running our business not on Zoho.
Read full review Usability I did not come from an IT background and I picked this program up quickly
Read full review The methodology of the 'out of the box' user interface is fairly easy to learn. In some cases however, the interface is not consistent throughout the software. Upgrades to the interface has certainly improved some of this--- but now we are seeing the same kinds of inconsistencies across Zoho apps, particularly those more recently added to their platform. This issue is not major in that everybody on staff seems able to learn how to work the programs--- it's just annoying and less than efficient when inconsistent user interfaces or inconsistent terms are used in the programs and/or the requisite documentation.
Read full review Reliability and Availability They are really good, but it takes a while to get back, because of the large time difference to the Eastern US. However, they are very helpful.
Read full review Support Rating We didn't have to use support too much, but when we did, they were able to assist us and help us make everything work. Mostly we used their Online KB and step by step instructions to get all of our issues resolved. Read full review We did the training and that was a huge waste of money. The information provided was basic and the instructor was sloppy (he even forgot to turn off his mic when he used the restroom - no one should ever hear what we heard). I offered up a 9 because we were able to find what we needed on your website.
Read full review In-Person Training It was harder to learn when there were mostly real estate users in the room. We are sales solely.
Read full review Online Training Online training is tough, but Zoho and their partners do a good job of explaining things.
Read full review Implementation Rating Three years in we are about as happy with Kayako as we could be. We've had several employee's leave and on-boarding new hires was easier than it has ever been as things are uniform and consistent across the entire application.
Read full review When you switch CRMs, you can automatically assume everything isn’t going to match up correctly. We had used Salesforce for 10+ years and had a ton of data and customizations. It was not a clean transfer, but we were able to sort it all out. The only issue that really bothered me was Zoho support. Even simple questions couldn’t be answered over chat, and we would have some team members try for hours to find the right answer
Read full review Alternatives Considered We were using
Spiceworks for a few years before switching to Kayako but found that it wasn't as customizable or as user friendly for our customers. The SNMP scanning and inventory features with
Spiceworks was nice but we needed more of a Help Desk that would allow us to scale our services to more companies.
Read full review Zoho is the only product we have used. Our company is fairly new and before purchasing Zoho a few years ago, client files were only saved and looked at through our company server. Because of how great Zoho has been, we have never considered looking for another product because there really is no need
Read full review Contract Terms and Pricing Model I think Zoho CRM is priced at a reasonable amount. Simply put, you get what you pay for and Zoho does not disappoint. My organization is comfortable with what we pay and pleased with continually renewing the software. The billing frequency is just right. There are no complaints on our end
Read full review Professional Services In addition to being a user of Zoho CRM, we are a reseller as well. Often, at times our Partners request for on-boarding the platform configuration for them. During such requirements, we have utilized the Professional services team directly from the Zoho CRM team. Our partner feedback was quite positive, throughout.
Read full review Return on Investment Tickets were definitely responded to faster once we implemented the audible alarm that would go off when new tickets came into the queue. This was possible because of the API. Since the system was email based we could set our monitoring software up to generate tickets automatically via email for customers when it found something out of the ordinary.
