User Testimonials

Microsoft
A large company where users have one function- for instance, where someone only receives or works in payables. That minimizes the number of windows they need. A smaller company where one user does multiple functions will require a lot more training and user knowledge to navigate, and it makes it harder to secure users. You also have to understand that GP started life as Great Plains, designed for accountants. The other modules were added on after Microsoft bought Great Plains, which means that modules like Manufacturing are red-headed step children with much smaller support ecosystems. So, if you're starting fresh, you may want to look at something built for the mobile world. D365 and Business Central are a lot more money, buggy, and hard to customize and essentially still vaporware. Microsoft is heavily investing there, leading to the previously mentioned question about the future of GP. If I was starting today I would be hard pressed to justify jumping into GP in a world where Salesforce ties in with so many programs. GP has MRP but it is limited so it's hard to justify a manufacturer starting with GP today.

If they are using foreign exchange I always use Xero. If I need reporting to be customized we always use Xero. If the client is already working in a software and it is working for them we will leave them in the software they are in.

Pros
Microsoft
  • User friendly interface
  • Able to be extended into multiple areas of your business
  • One feature we have been using for a few years is EFT for payables - it has significantly reduced the time spent paying vendors and reduced our check printing and mailing costs. It is very easy to setup and use.

Xero
  • Their method of moving between screens was very logical and intuitive which is not a "given" attribute among software packages.
  • Finding transactions was relatively easy with just common sense.
  • The use of this software was generally well received in that the accountants did not discredit the software as cheap, poorly organized, or timely to learn. No one at Corporate had a vendetta against using Xero.
  • It does a good job of allowing the users to drill down to the final detail of an account balance - which is fundamental to the accounting department's needs.

Cons
Microsoft
  • With respect to the allocations, once the expense is entered into the allocation account, you lose the ability to run any detail on just the total of the expense. It would be nice if you could run a trial balance on the allocation accounts the same way you can with regular accounts.
  • I've always thought security set up could be a bit simpler. It actually has gotten better through the years. Specifically, with eight separate entities, it would be nice to have a "master" setup where you could call up one group entity, assign the users rights, and then be finished. Currently, whenever I have a new user, I have to call up each individual entity and select all of the features I want the user to have. That means I have to do eight steps for each user.

Xero
  • Occasionally, the price increases and I feel that prices should be fixed for long-term users as there are very few changes in the software from when I started using it 6 years ago.
  • It would be useful to have the emails sent with invoices saved.
  • Visual dashboards are limited.

Microsoft
Due the economic challenges that Puerto Rico is having, the company has had to merge some companies in order to be more efficient. It has been easy in GP to process those merges, even thought we had to spend days to accomplish that the process was smooth and accurate. In addition we were able to streamline the purchasing and sales process and the organization is confident to keep renewing GP for the future versions.

In addition to the matters covered in this review, my reason for renewing this product is that Xero's functionality and the constant updates that the company provides, makes the software even more business friendly. The software therefore builds a brand loyalty among customers.

Usability
Microsoft
Though it is a basic accounting package, I believe some users do not find the old style menus and navigation options intuitive. There is also a great lack of training resources in the market, so users have to learn the product without guidance a lot, resulting in inefficient workflows and misuse or misunderstanding of many features.

Xero has all the features that you need, basically. From chart of accounts, reconciling books, to making annual financial reports. What I'm currently looking for Xero right now is to provide more broader integration with the other apps so we can use it for customer-facing experience also. All in all, everything works well!

Xero
We have been actively using and 100% Xero based for our ecommerce accounting practice for over 4 years. There has on been one real outage for more than 5 minutes. Xero was open and transparent about the outage, what they were doing to resolve the issue, and provided 15 minute updates. Showing how they care about their customers and partners. Plus, showing that their customers care too, were understanding, and went surfing or in our case took a nap. Couldn't run our business without Xero as a partner.

Pages generally load quickly, but it's a fairly common occurrence to have pages taking a bit longer than I'd like to load (as in, 4+ seconds). Occasionally I have to refresh a page to get it to work. Bank feed and integrations tend to be slow in general, but that could easily be due to API latency on the side of the other parties. Most of the time, though, the bank feeds refresh before I login so it's not a huge problem. Not necessarily good performance compared to a local app like QuickBooks desktop, but definitely good performance for a cloud application. Room for growth? yes.

Always respond and keep issues open until you are satisfied with the result. Generally good responses, in the past, I had some support responses that were really basic and really annoying. They type where "have your tried restarting your computer" style of answers. Well, of course, I went through all the basics before contacting them. Duh, but I suppose not everyone does. Otherwise, it would be a 10. The last year has shown a marked improvement in the support responses however.

Implementation Rating

Basically the challenge with this implementation was the Business Portal, too many errors and even the aplication is up and running the users are still having issues. We will start planning the migraton to GP 2015 soon.

If it can be done, time the implementation near a new fiscal year so you can start clean. Otherwise, you have to go back and do historical data from the beginning of the fiscal year, which can be brain draining.

Alternatives Considered
Microsoft
I come from a strong background of using SAP. SAP doesn't have the flexibility of GP, an example would be SAP doesn't allow core mods, if they catch you, you lose support. Microsoft doesn't really care about mods, but they will be quick to have the vendor you used support your issue if it is caused by those mods. With SAP your company adapts to the software, where with GP you adapt the software to you.

I've used a lot of different accounting systems. Many of them so big and powerful, but a hassle to get set up. Xero is light, inexpensive, and easy to use. When I originally selected them they seemed like they were developing new features at a quick rate as well. I was invited to be part of focus sessions to make the product better. That part has slowed down significantly though.

I have yet to fully stress test the product given the size of the company where I am using it. I am sure as we scale to more customers, more vendors and more reporting requirements, I will have a better understanding of what it is capable of in terms of bandwidth and processing

Return on Investment
Microsoft
  • Microsoft Dynamics GP allows my clients to move from a paper or spreadsheet based company to an integrated, electronic, streamlined business. I love being able to help clients gain efficiencies through the use of Microsoft Dynamics GP.
  • Microsoft Dynamics GP allows for better customer service because everything is at our fingertips. If someone calls questioning an invoice, we can easily look it up. If someone calls stating they paid an invoice with a certain check number, we can quickly run a query to find that particular check number to see where it was applied.
  • Having everything on a single platform provides ease of use for upgrades, backups and end user training. There is only one software to learn!

  • Saved many hours through automatic invoices and followups
  • Saved many hours by allowing transactions to start via bank feeds (ie I don't have to input a transaction and mark it against what is in the bank/cc account; rather, the transaction in the account is where you input the transaction into the books.
  • Has the scalability my business requires, and not much more.
