Use Cases and Deployment Scope

I mainly use the recruiting area, but also I use it for myself as an employee, and to manage things for the employees I manage. I like having all of the information in one spot.

Pros

reminders of tasks
resume organization/application tracking
easily able to see benefits, time off etc.

Cons

For the recruiting, I wish you could tag team members so they could take a look at things or be alerted of a note
I wish I could edit the flow of the statuses-ie interview 1 etc.

I like that it's all in one spot. We used to use Nimble for applications and I liked some aspects like tagging or being able to edit the statuses without having to have a new job post.

We process payroll for outside clients. Paylocity makes the process easy, efficient, and effective. A number of our clients are multi-state employers and Paylocity managing payroll taxes is a huge part of the draw. Additionally, the support team is very quick and reliable.

Pros

Managing Multi-state Tax Filings and Remittance
Accommodates the unique needs of religious non-profits, including paying priests and religious order members, as well as various entities from parishes, to schools, cemeteries, and charitable organizations
Correcting issues within Paylocity is simple with automated check voids, and void/re-issues.
The override feature makes blocking deductions, are adjusting tax withholding a simple process.

Cons

Correcting timecards can create challenges for supervisors. There are numerous instances when you just clear the whole line and start over because error messages popup.
One of my clients uses cost centers with default rates that are supposed to pull in on transfer punches, but don't. I have connected with support on this a couple of times, and still have to manually correct these entries.
A more intuitive search function for the learning center would be very helpful. I frequently look for guides for employees on using their self-service portal, and struggle to find what I need.

Likelihood to Recommend

The flexibility of Paylocity to adapt to requests like billing different bank accounts for sister entities (a parish and a school for example) but maintaining a single company id is a great feature. Additionally, a work around to create separate pay periods with a single check date for hourly and salaried staff, was a key factor for a particular client.

For us as processors, the intuitive work flows have greatly enhanced our efficiency and has made us fans!

We use Paylocity as our timekeeping, time off tracking, onboarding and HR software. We used to keep our time through Excel spreadsheets that had to be physcially signed by the employee and supervisor. Paylocity has allowed staff the ability to enter & submit time whereever they are. We also maintained Excel spreadsheets to track employee time off in each category. Paylocity now does that for us and employees can see their balances each time they log in. Paylocity has also automated our onboarding process and HR activities, which has been extremely helpful as we now have employees who live hours away from the office location.

Pros

Automated timekeeping that is internet-based is extremely loved by all staff.
The Help Desk is ALWAYS helpful when I call and are willing to answer any question I have. The are VERY responsive, which is always appreciated.
The automated onboarding process for a new staff member has been extremely helpful.

Cons

We don't use the clock in/clock out segment of Paylocity; but rather employees simply enter their time each day or each week. In the timesheet, there seems to be a glitch if an employee wants to go back and add more time in between two lines that already exist. The activity times have to be adjusted by 1 minute so Paylocity doesn't freak out.
Adapt the platform for organizations who don't have employees submit their time in order to process payroll. We pay employees on a semi-monthly schedule; however, they are allowed to submit their time at the end of each month. Because of this situation, I have to run a Benefits report at the end of each month that shows how much time was used by each employee for each time off category. And then, I manually enter the time off used into the HR & Payroll segment so the balances between Time & Labor and HR & Payroll match. It would be great is Time & Labor and HR & Payroll talked to each other in this scenario.

Likelihood to Recommend

My assumption it that it is well-suited in an organization where employees actually clock in and clock out. It is not ideal in organizations where most employees are salaried and don't have to clock in and clock out. We make use of Paylocity as best as possible; however, there are accomodations that have to be made.

Paylocity is our payroll manager and time clock for hourly employees. Their mobile app makes it easy for employees to clock in and out (inside our geofence). Tracking their time, vacation, sick leave, etc is super easy once you get everyone set up. The best part is how they file all the reports to the state and federal agencies. They are also always updating their features. Lastly, their support is easy to contact and always very knowledgeable to help you solve your issue on the first call.

One off checks tend to be clunky in input
Our employees seem to have trouble clocking in/out at times

We use Paylocity for all our organizational needs except for benefits. Our problem sometimes with Paylocity is the support line and getting through to a customer service rep, I think the platform is user friendly once you have the experience of how it is used. I do think they need to upgrade their dashboard and the knowledge peak, as far as instructions on how to use a category within the platform.

We use Paylocity for payroll and now we are trying to use it also for Rewards and Recognition. We have begun using Paylocity for notices to employees.

Payroll was done previously by another very large payroll company. We have three locations where employees often work at more than one location. The other payroll company was not able to consolidate their paycheck, thus they would get two paychecks. UGH.

We are trying to implement Rewards for our employees, and hopefully it will work out. Not sure yet.

Better support of their ancillary products
Assigning one person to work with in customer support instead of getting multiple people, who only call you back, rarely answering the phone when you call

Extremely well suited for payroll. They excel at the onboarding process for creating new employees and getting them paid. But, the amount of steps that you often have to go through sometimes to get something accomplished can be overwhelming.

We use Paylocity to run payroll, prepare payroll reports and year end tax forms. We also will be using the human resource module to provide better information to our employees and simplify HR tasks.

Pros

The AI feature is very helpful in resolving issues without having to call client services.
The payroll module is very sophisticated but not user friendly.
HR features like uploading employee documents is great.
Security features are very good with two factor authentication required in many areas.

Cons

ACA reporting isn't easy to figure out. You can't assume the system can figure out the correct reporting and there is no centralized area to correctly provide the information so 1095 forms can be compiled correctly.
Too many drill down points to manage payroll. It takes much longer to process payroll than with our previous provider.
The mobile app causes more confusion for our employees with limited abilities.

Likelihood to Recommend

Paylocity is better suited for a company with a dedicated payroll specialist on staff. The level of sophistication is above the time that an employee with other duties can easily manage. Our HR Director (only HR employee) hasn't had time to implement many of the HR features that we are paying significantly more for. In summary, a small company with fewer staff struggles with how complicated the system seems.

We use Paylocity to process all our payroll cycles. This includes funding, transferring state, federal taxes, unemployment compliance, W2 processing. We also have GL reports that are manually keyed into QuickBooks online. It would be great to have this automated to avoid manual enter and risk of errors. We do have equity partners who require a K1 Form and payroll cycles are different from employee payroll. Paylocity is able to do both.

We also use them for tracking signature for our employee handbook.

We have several meetings with our client manager and he is very helpful. We still have a challenge with writing procedures and having the ability to set up a new hire with their schedules, PTO, Holiday. There always seems to be a button we did not click on that will create errors.

Most of our frustration has been around the time keeping processes.

All salaried employees are processed accurately. Changing an employee to a K1 Partner has been a challenge also and it took two years for us to meet with the GL team and they fixed the issue now.
