Overall Satisfaction with ClickUp
We develop software for clinical research and as our projects and tasks became more complex, and as our team grew, we needed something that would help us manage the project electronically and where we could have ongoing conversations about tasks and issues, without relying on email or word of mouth. Bringing on new people to the team before Clickup meant there was a gap in their knowledge and we'd have to rehash details to get them up to speed. Now with Clickup, we can add them to the project space and they can review the history of tasks very quickly and frankly more completely than we could do before. Also, with the number of teammates who support many different teams, it's helpful for them to be easily able to see what all their tasks are across all their projects and that's very easy in Clickup.
Pros
- Easy to use interface; very flexible which allows for different teams to organize their projects in a way that works best for them.
- The ability to customize my notifications as granularly as they allow is very helpful
- Integrations to many different other tools and systems gives us the ability to automate task creation or inform other systems when something changes
- They've included a lot of performance monitoring capabilities into the system
- The variety of views that one could use to see their tasks and projects is great
Cons
- When I change the view or sort things differently, I get this pop up telling me there are unsaved changes in my view and gives me options for what to do. I really was just sorting things a specific way so I'd like to be able to tell that popup "don't bother me about this in the future" because I don't care to save that view for everyone.
- I admit I struggle with the Search function sometimes. Maybe it's because I don't use it often because I struggle with it but it has gotten better.
- The keyboard short cuts usually get me in trouble because I accidentally hit a special key while I'm using it, unintentionally, which means I have to get out of something and get back to what I was doing. I imagine I can turn those off but I just haven't taken the time to look for it.
- Unfortunately we are a quite informal operation and my attempts to leverage Clickup to improve tracking of tasks has only gotten so far in our organization. Not due to any fault of the tool, but people are sometimes hard to change. Most of our developers love Clickup and want to do more with it. Some of our Project Managers love it too but others see it as another tool they have to use that adds burden to their day because they prefer to work with paper lists and walk down and talk to someone in person rather than track and manage tasks electronically. So I don't have any solid numbers on ROI.
- But I do see the potential if we can continue to garner larger adoption of where we could reduce confusion and make leaders aware of progress faster. But change takes time.
I believe the communication for our larger projects, between teammates has improved. Being able to get direct conversations on a specific task or subtask has helped quality and reduced confusion.
This was the first tool we have ever used for tracking tasks and processes. We have explored the ability to integrate with other tools and have setup some connections to other tools and that has worked well. Again our biggest challenge is getting people to buy-in and learn to use it across the whole team. In a culture where you have limited adoption, it's difficult sometimes to do more than just basic task management. The champions like myself can see the potential but change takes time.
