Overall Satisfaction with Paycom

We have payroll in there. We have our benefits admin. We are integrating our ATS and our L&D in there currently and surveys. So I'm pretty sure we bought all of the packages that Paycom has to offer and we're slowly integrating all of the add-ons basically. But we have payroll in there now, benefits now, expenses will be one of them as well. So we're all in. So it's exciting.

Pros

  • Just the usability of it. I mean it's literally so streamlined and how we communicate it to our employees. It's a one-stop shop. They can have all of their pay stubs in there, they can change their contact information, have their benefits information in there, and soon we're going to have our performance reviews in their training. Because before we had separate platforms for every single thing, so it was hard for employees to remember their login in their email and their password, and if they have any problems with that, then they call us. And then it's just another thing for us to do, change your passwords, like that whole thing. So we wanted to alleviate that and provide a one-stop shop for all of our employees.

Cons

  • Definitely the benefits implementation. That was extremely rocky and it lasted way too long, which it was kind of on both sides because we came from an in-house, not a bin admin system, but an in-house payroll system. So a lot of the things we kind of manipulated and we can manipulate or we could, and it was just we didn't have to change a lot of things. But with the admin implementation, there were a lot of nuances. Like with the BEP, a lot of our executives had separate benefits plans that they had covered, whereas others, so we had to create whole separate beeps. And then also some of our short-term disability rates didn't transfer over. And then how we did payroll back in our in-house was we had a semi-monthly in real time, that's how we paid. So we had to completely change that. We did biweekly in arrears, so that was a big change for our employees on top of all the other changes.
  • And so that also changed all the benefits side of it too, like the introductions and accruals and all of that good stuff. So it was very painful for a little bit. And I will say the benefits implementation service rep that we had initially, he didn't ask for all the information up front. It was just okay, especially for membership, give me a spreadsheet for dependents, gave me a spreadsheet for the beneficiaries and that was it. So there were a lot of things months later that we could have provided upfront and it made the process so much longer. And therefore we had terminated our old benefits admin system and we were still working out the kinks in Paycom and we had a hard deadline for that. And so we then had to manually enter in all the ads, changes and terminations into our carrier system for two months because the Ben admin system wasn't set up yet and the file fees weren't set up yet. That was a whole different thing. The file fees were a nightmare set up, but we got it all figured out. It was a hard couple months, but we got it working and now we don't have any problems. So it was a rocky experience for the admin. Admin, payroll, not so much. And then now we're kind of into it with our ATS and L&D.
  • Positive would be a lot of our duties now are really streamlined, especially in HR. A lot of them are streamlined and it alleviates a lot of manual work for us, which is great because we are already redlining and understaffed. And so it really has helped and it's just an overall better experience for our employees too. And we're starting to do onboarding and orientation, and I just know that once all of that is in there, it's just going to be an even better experience for the employees and for us just to better keep track better analytics, I think.
Well, I feel like we kind of touched on this a little bit, but again, just makes it a lot more streamlined, less questions. The usability of it is so easy for our employees, and since we're in the HVAC industry, a lot of our employees are older, maybe not as tech savvy. So to have all these different platforms, it just overwhelms them a lot. So to have one platform that they can go to, they have their login and password, they have everything that they need, and it's just so easy, especially on the app, like having the mobile version, they're always on their phones, they're out in the field, they're not on, most of them don't even have laptops, they have tablets. So just to have the app and for it to be so easily accessible for them, it was game changer, honestly for us, from what I've seen so far, and I know it's only going to get better as we start implementing everything that we have in there.

I mean, just in the everyday employee life, I feel like we mentioned earlier, it is a one-stop shop, so it's very easy for the employees to just go in there and get all the information that they need and not have to go to all these different avenues, not suited. I will say one example that we have, we're an HVAC, so a lot of our employees are billable, so their pay is applied to jobs. So that didn't really make sense in the Paycom system. So we have a separate system for that and we have to upload their hours into Paycom. So that is a challenge more for our payroll team, and it didn't really make sense to have that. I don't think Paycom can support that. And that's just maybe just an industry thing because I know a lot of people don't have billable workers, but that was something that we saw.
