Overall Satisfaction with Paylocity

We use Paylocity for payroll and recruiting. It helps to process our payroll in a timely manner. Our employees can adjust their taxes, address, phone number, etc. in the system. We also use the recruiting platform which helps us to publish jobs easily on different sites. It also allows us to schedule interviews, text candidates, etc. very easily which is very helpful.

Pros

  • Better navigation tools for employees who struggle with looking for things
  • Fewer updates-Updates are done and fully change functions or at least communicate the upcoming changes
  • Reduced time on recruiting
  • Less manual updates from HR or Payroll on employee files
  • Ability to scan employment files into the system
Paylocity has good surveys that are already set up which help with stay and exit interviews. They also have some basic trainings that employees can take which help us to stay in compliance and allows HR to not have to constantly track who has completed them and who hasn't. The system makes surveys easy to launch.
We haven't taken advantage of many of these other than surveys. Many of our employees don't use the community feature or peer recognition features. We have not signed up for premium video but I don't really think it's something we would utilize. The features themselves seem cool, we just have utilized them.
ADP TotalSource was a lot more expensive than Paylocity. The features in Totalsource were nice, but the savings moving out of it paid for a new person to come on and still save money. Paylocity has plenty of items that can be added if you want a more robust system.

It is well suited for smaller companies. Set up is usually really easy. It's well suited for an admin to be willing to search for topics in their library as well. After set up, support is a little harder to adapt to but it's acceptable. It's also more acceptable for a company that knows exactly what they want out of a system during set up.

Using Paylocity

39 - Everyone in our organization uses Paylocity. All of our employees use the time card function. And all employees use the system to request time off. Payroll uses it for payroll. HR uses it for recruiting. Uploading important benefit information and some tracking of documents. Our managers use it to track vacation and sick time.
3 - We have 3 admins of our system that have the ability to call or chat with Paylocity to make any changes to the system. The admins can also support each other as we have different experiences in the system. If a person has good problem solving skills, a lot of issues can be solved on your own with Paylocity's help library.

The system is as good as you set it up. It does occasional updates that are sometimes a little confusing and unexpected. The communication could be better about what changes are coming. Overall, it's a good system.

Evaluating Paylocity and Competitors

Ease of use was important. We have different generations of users and it was important for everyone to be able to easily use the system. The navigation needed to be easy for paychecks and time cards especially.
I wouldn't change anything. Other vendors were evaluated and we had a budget to stay within. The system gives us what we need it to do. It has options of upgrading if we were to grow larger which is helpful.

Paylocity Implementation

The implementation team is probably one of the best parts of Paylocity. They work to make sure you understand everything about the system before launching it. They also give you the organization a couple of payroll run throughs to see if there are any bugs that need to be worked out.

Paylocity Support

Support is usually easy to contact. If you have time to email your support team, they usually respond within 24 hours. If you need immediate assistance, you can call their 800 number and someone is usually able to help you right away. They also have a robust help library that is very useful.

Slow Initial Response
We did not purchase premium support. The cost wasn't worth it for us. We are a small organization and we don't need support that often. If the system is set up correctly when you start, you don't need a lot of ongoing support.
We were having trouble with one of the updates that was done. We were able to call support and have them walk us through the change so we were better equipped to handle our system. It was fast and thorough. I always recommend calling them if you need immediate support.

Using Paylocity

The system is easy enough to work through. There's an employee page that employees can find everything they really need in there. Sometimes it's a matter of clicking a button for a drop down menu. Once employees take a little time to learn the screens, it's really easy to navigate.

Yes - The mobile interface is okay for basic use. It doesn't work great if doing the recruiting platform because there is a lot of information on one page and it tends to get weirdly scrunched. If you are just looking to jump in to do a time card or look at a paycheck, it's good.
