Overall Satisfaction with Paylocity

In my role at our company I mainly use Paylocity for payroll functions related to time keeping, payroll processing, GL coding, reporting, and housing employee data. Paylocity is our main system of record for our employee data including time keeping records. Paylocity also completes our garnishments and tax filing for our company. I am in Paylocity on a daily basis to complete the functions of my job, Paylocity does a great job at processing payroll as well as tracking time for our employees.

Pros

  • The overall payroll process is very smooth with Paylocity. We can create custom batches for bonuses that easily block deductions, set up supplemental tax rates and etc.
  • Creation of earning codes, time keeping codes, and other coding customizations is very smooth.
  • Having an account manager that is specific to your company is extremely helpful. They get to know your business and offer insight/assistance. Their support is also very timely.
  • Their custom fields option is another great tool to be able to create reporting filters for when you run reports.
  • I feel as though their tax team is pretty decent at turn around time and is good about processing tax payments timely. We have only had a couple of issues.
  • Garnishments team is very helpful as well.

Cons

  • Retro Tool - The ability for it to calculate for weighted OT. Right now we don't use the Retro tool because it's not very helpful for us.
  • The excel reporting outputs are very ugly, usually not filterable, and can be overwhelmed with a lot of information. Also when you create a custom field it isn't usuable for all reports, it would be nice to be able to be used by all reports. I think there should be more summary reports, IE a YTD gross report should be something that is default that isn't a payroll register for every single employee. Also it would be great to be able to run a report that shows historical data of employee postions, location data, and gross wages. IE, running a YTD for a specific location that would show gross wages for employee's working at a specific location.
  • Having a historical view of what an employee claimed on their W4's. IE, employee's who claim exempt should be updating their W4 every year but with how the system is it shows only the current year with the W4.
  • Time and labor having either a report or an option to add pay types to the headers. IE, having a clean report when I can filter by everyone who has holiday pay prior to them being imported into the batch.
  • A better Payroll register export file that is filterable.
  • The GL process has significantly improved. With our prior system it would take me 2 -3 hours to make GL corrections and then upload in our accounting system.
  • While the reporting needs improvements the report building in Paylocity is much better than the previous system we had, so we are able to build reports.
  • Creating of earning codes, time keeping codes, and the overal time keeping system is much easier than our prior system.
  • We are actually looking into the workflows Paylocity provides.
  • System customization is a lot simplier than our prior provider, UKG.
Mainly Paylocity has saved the payroll team via the GL team and the GL upload. It would take us a couple of hours each payroll to correct from UKG's portal and now there are few if any corrections needed before we can upload. The report writer tool is a lot easier to work with and it takes me far less time to create a new report when needed. Also being able to build our customer earnings codes is a lot simplier than when we had UKG.
Community has been great to notify employee's when W-2's are available, and other annoucements. Our team has also be using it to do Peer Recognitions and post pictures of their team events to the entire company.
ADP has a better time keeping system than Paylocity as it's nice to be able to select a pay type/earning code then to be able to audit. There is a lot of customization you can do to the transfer of hours and shift differentials as well, but it can be complicated. The Reporting in ADP was pretty close to Paylocity, but some of the report outputs were a little nicer. Paylocity has way better customer service than both UKG and ADP. Also the ability to do off cycles, manual checks, and other system fuctions in Paylocity is a lot nicer than both systems. Tax team is also better. UKG I felt was overly complicated, the only piece I liked was their report outputs were nicer and that their payroll run process flowed a little nicer than Paylocity. Otherwise the system was terrible, we had a lot of tax issues, and the customer service was full of people who didn't understand payroll. Both UKG and ADP are also over priced.

Paylocity is overall a very good time keeping and Payroll system for our company, but I feel like the reporting output always needs to be cleaned up. Or that it can be difficult to put together exactly what you want for a report. The customer service with Paylocity is great however and it's very easy to create an off cycle payroll.
