Paylocity - The Good The Bad The Ugly
Overall Satisfaction with Paylocity
I am the HR Generalist and I use Paylocity daily for employee/manager information. In the fall of 2024 I set up and released our Performance Evaluations through Paylocity and in March of this year I used the Events application to launch the acknowledgement of our updated Personnel Handbook. All of our payroll functions are completed through Paylocity, on the HR side is where we do pay raises, status and position changes, and monitor position certifications/licensure as well.
Pros
- The layout makes the system user friendly, especially if you have used other platforms
- The amount of information stored in Paylocity is amazing
- I love the community tab with the birthday and anniversary announcements and have began using it for our employee appreciation announcements. I think this has been well received.
Cons
- The Knowledge Base is very large, unfortunately when I am attempting to learn something our organization has never used before it is very difficult to locate what I need and I have found many pages are outdated as the pictures showing me where I should be going, I can't find anything similar on my screen. I have learned to do many things using this system, but specifically Performance articles were not helpful at all.
- I would love to see a way to click on a talent's profile, after they are hired, and have an option to one-click to their employee profile. I have recently been handling recruiting and that can be rough at times as I am trying to update our recruiting records and constantly find myself having to go back and forth from one section to the other to view information.
- I would love a way to view the employee's profile as though I am them so I can help lead them through a process. The information I have located on the Knowledge Base doesn't give accurate directions and I cannot see what I should be seeing according to that page. Now knowing what my staff sees is very frustrating at times because I lead them through a process to find information and my side is just very different than theirs.
- I have tried sending the link for employee's to change their passwords when they forget them and get an error each time. So, I will reset it manually selecting the option for them to change it when they log in the first time. We cannot see what is being typed so an error message pops up notifying us the two don't match, you have to type them all over again. It would be great to have that option at a minimum.
- Reduced time expenditures; with information in one place we spend less time searching
- More consistent processes; we still have some manual functions that go along with what has been set up in Paylocity but things are more uniform.
- Reduced costs; not having everything on paper, the time used to research information, employee self-serve helps reduce costs for the organization
There are still some aspects in Paylocity that are HR intensive, I am learning. I believe most of this is on us and what I see as inconsistent training of managers. I am still trying to learn those processes to help improve upon them. I have been with the company for 9 months and there is just much to learn about the organization itself. I would love to see the Knowledge Base articles updated to the current version so when I can count on sending them to the Knowledge Base for help. Right now, I go through the process and screen shot along the way to offer 'self-help' on how the screens actually look.
This January I started using the Community section to announce our employee recognition awards each month. I am finding that has helped increase the number of recognitions being completed by staff. In March, I launched an event to announce and acknowledge our updated Personnel Handbook and am struggling to get staff to complete this 3-minute task. I have reset far too many passwords because people are not using Paylocity as we would like. I am working with my HR Director on how we can increase awareness of the value of information contained in Paylocity. I am discussing the information contained in the platform during New Employee Orientation each month for new hires, but need to find a way to capture our existing employees.
I have been satisfied with the ease of use and navigation. I appreciate the accuracy of information on the HR side. I cannot speak to the payroll side. I have heard feedback regarding Paycom and ADP specifically what payroll was completely messed up and had to be corrected by manually which took hours to complete. I have not heard anything close to that regarding Paylocity.
The amount of information available in Paylocity has far exceeded any other platform I have used. I do not know if it is the applications we have purchased or the age of the other platforms. But this has been a pretty great system overall.
