Acumatica 5.0

Fairly easy and intuitive user interface with common features throughout the platform makes it easy to train users new to the system. However, it requires a lot of dev customization with limited features that a power user/administrator can manipulate. Doesn't provide a very customized experience to the individual user. Seems that the best scenario is for companies that will use implementation and customization services to maximize the features of Acumatica.

In the service series, there is a weakness in applying revenue recognition concepts which are a strong point of the project series. It is difficult to get a period sensitive WIP that could be recreated at any time for a point in time (fiscal period).

  • Expense reporting: Available both on the desktop and app versions, it has allowed our team members to reduce almost all paper in the expense reporting process, streamline approvals, and reduced time from submission to final payment.
  • CRM: Managing customer information in a single place, accessible to all. Connecting customer accounts to opportunities allow us to quickly see the overall value of an account from past, current and future opportunities.
  • Financial: Drill downs in reporting allows quick and easy access to address questions on individual transactions affecting financial performance. Drill downs are also protected by permissions and roles to ensure people only have access to information relevant to them.

  • Strong and flexible allocation processer for cost allocations, markups, and pricing
  • A "Flexible Billing" module under the project controller series that allows for multiple billing formats ranging from fixed price schedule of values, T&M or Cost Plus, and scheduled billing.
  • Flexible reporting with options using Crystal Reports, SSRS, a Quick Query tool, and ability to tie into MS Office tools such as MS Access and MS Excel

Cons

  • Email integration: Horribly clunky, requires users to share email password with Acumatica to allow use of outbound emails. Should be using a more secure method like access tokens.
  • Expense approval process: Once expense claims are approved, approvers (depending on role) can no longer see the approved/denied claims. Denial of claims requires a manual email/call to submitter instructing them to correct and resubmit the claim.
  • CRM: Allow for tracking of cases by the opportunity in addition to business accounts. This would allow for more accurate tracking of issues related to specific opportunities.

  • Incorporate some functionality provided by third party products into the core product.
  • Since Dynamics SL has strong multi company capabilities, incorporate functions to secure projects within a company to certain groups.
  • Improve the budgeting, forecasting, and change order interfaces so that the tools are more online.
  • Improve the forecasting capabilities to include more robust and integrated tie in to the project EAC/ETC (Estimate at Completion/Estimate to Complete) numbers. This would allow project revenue/margin/cash forecasting.
  • Expand on the subtask concept
  • Improve the interface for multi level rate entry for pricing and cost allocations such that more security can be applied and reduce risk of inadvertent changes.

I rate it a 10 because we have removed the fields we don't need so users can really crank the data into the system. The software was designed for the professional services firm in mind but does a tremendous job for construction firms and "blended" companies that are both distribution firms but project centric as well. Perhaps they drop ship inventory to a project where their employees or subs need to work on a project for example.

We have had only one unplanned outage for 2 hours in the last 30 months. We shut down for 30 min to 1 hour once a month, but that is for Microsoft OS updates to the servers. Being a 24/7 world wide operation, the reliability is really important. We do get an 8 hour window on the weekend that we can be down for a short period to install Microsoft Dynamics SL updates, but we do not have many of those. On our last version upgrade, we shut the users out at 9:30 am and were fully operational in less than 6 hours. The upgrade was New SQL server, New SL server and 2 new Citrix servers.

Just to let it take its course. The implementation for me once I became a part of my former organization was pretty seamless. Just get to know the basics and call the support team to ask questions if you need help on an issue, should they arise. They are ready, willing, and able to help!

Alternatives Considered

I liked the flexibility of Salesforce and the ability to customize look and feel with minimal development involvement. Email integration was smooth and seamless. However, Acumatica's ability to customize certain business processes to meet our particular day to day operational needs and account based fee as opposed to user based fees made it a better option for our organization.

We selected Dynamics SL because our business lives and dies by the success of our projects. A product that can tell you that you have a problem before you invoice, helps you get your project back on track much better. It's also much easier to evaluate across projects, tasks and project types-what you do well and where you need to improve.

  • Better communication and collaboration on customer accounts through the CRM.
  • Improved month-end close time and more up to date financial information.
  • Slow to implement has been frustrating for the team and has been more expensive than anticipated.
