We chose a complex process to prototype, which included needing to use service request management, send notifications, generate a PDF of the information captured in the online form and package it up along with the myriad of documents that the business customer needed to send through as part of their application to get their licenses for the cafe. Appian handled this very well (though the document management we implemented was a bit clunky - this was more due to the short timeframe and could easily be improved with a bit of tweaking). We focused on the customer at the centre of the process, rather than the receiving agency/local government of the application, and saw huge savings in customer effort (in the vicinity of 80% time saving!) and visibility for both the customer and the receiving agency/local government on where their application is at. The use of business rules to guide the customer through the process also resulted in better quality information and completeness of the application, which in turn would reduce effort and time for the receiving agency/local government when processing the applications.We were able to use Appian to provide two low touch options for the receiving agency/local government - one which included an email template (using an Excel template) for them to update the status of the application and request further information (which then updated the system and sent notification back to the business customer); and another which enabled them to log into the prototype and process the work from a work list. Appian made these both easy and stuff just worked.

Workday HCM requires constant and a lot of HRIS support and in the event that a company cannot afford to staff accordingly it may create a lot of frustration. The system allows for a lot of flexibility in customizing and automating processes; however, that also requires constant maintenance by an experienced technical team. Workday HCM is a great solution for companies that are looking to capitalize on employee and manager self-service, standardization of practices, compliance and automation.

Pros

  • Appian allows us to link systems together with data being automatically obtained from different areas of different databases. This has removed the requirement for the user to go to a screen and manually input data which then needs to be re-checked by a Supervisor.
  • Appian enables us to react quickly to an ever changing regulatory environment.
  • The re-useable components within Appian enable us to build and deploy new, straightforward, processes quickly.

  • Groups employees in management hierarchies and creates Org Charts that are easy to navigate and allow for visualizing management chains regardless of employee locations
  • Intuitive and easy to use. The Workday search functionality works very much like Google; one can search for anything that they have access to in the database and drill down into the various details. All information is connected through hyperlinks and users can easily keep digging into the details for as far as their security access would take them.
  • Tasks such as to do, review or approve items are sent to the user's Workday Inbox, very much resembling email. Notifications about outstanding "to do" items are also sent to each the user's work email address on a daily basis.

  • Limitation of objects capability such as 'Date / Calendar' object.
  • Limitation on the number of pages to be displayed. Here, total / max. number is 5 main pages / tabs.
  • Limitation on displaying / positioning of sub-tabs below each main page / tab. it is only possible to display the sub-tabs below the main page / main top level tab, and if the number of tabs are increased, the UI / sub-tab display becomes busy / cluttered with the title.

  • To me, it did not have enough user guides or they were just lacking so you had to wing it. Sophisticated users appreciate the effort a software developer and provider has in making complete user guides. Makes it complete and comprehensive.
  • I was expecting to see contact help by hovering over certain sections of the screens but did not see this, kind of surprised it was missing.
  • I tried to cascade my performance goals to my team but they all duplicated, no idea why and our HR IT team could not figure it out. Appeared to be a hierarchy set up issue.

It is work to make one system the source of truth for our data, but now that it is done, there is less work involved in staying on this path. This means for us that maintaining and/or implementing new modules like performance, finance, talent, etc. is simple. It's a no-brainer

Workday's on a great path in terms of user experience. Their goals is to deliver a use experience that doesn't require training or instruction, like Amazon on the consumer side for example. That's hard to do when you're talking about complex business processes and important and sensitive employee information, but they're doing it well

In 2014, Workday has changed the update process. There will be two updates a year; the updates will be delivered to customers typically in a 24 hour window during these two weekends a year. They also keep the Community up-to-date about any planned outages, etc. There is weekly scheduled downtime on Friday night.

From my perspective, the system runs like a well oiled machine and I have not had any issues with customers complaining about speed. If a report is taking long to run, the report can run in the background and you can go about your business. For larger enterprises, there is additional space and machines to process the application in what Workday refers to it as Extended Configuration Tenant

As analyst I participated in a developer boot camp. At times it was hard to keep up but most of the time it made sense. Trainer took the time to explain and slowed pace down to answer questions etc.

The instructors are knowledgeable, the ability to do hands-on exercise throughout are invaluable. The materials are useful reference after training is over. However, for basic functionality the system is pretty easy to pick up and there are plenty of free classes and tools so that only the system support and implementation team really need to take formal Workday training.

• In-person training. WD was not very upfront about cost of training. It is quite expensive (had to travel to either Chicago or California, on top of training cost) and we could only afford to send one person (me) to get basic training. Basics were somewhat helpful, but could have been better. She got bits and pieces, but felt that a sold week of more rigorous, systematic training would have been better.

There were some miscommunications from the One Source team and the implementation was a little rocky.
• They entered employee data late in the process leaving us no time to clean the data.
• We did not get much information from the implementation team, on why things were being done the way they were, and we felt a bit out of the loop. Their process was very complex and communication with us was poor.
• In general, I would say that the One World team knew how to get our data in the system, but they didn’t know much about how the system actually works. Result of this is that we were left to our own devices once the implementation was complete. They didn’t provide any documentation or guidance on how to get up and running with the system. Some of this is a Workday problem: they have virtually no best practice documentation or admin user documentation, so we were on our own. Most of our questions were answered by other clients through the community forum / knowledge base, but the forum design is poor and it can be quite difficult to find the information you need.
• One Source did set up a sandbox environment which was useful; but unfortunately, anything we built in the sandbox could not be transferred to production, but had to be re-created

Alternatives Considered

When evaluating Appian we were asked to compare it to other enterprise tools we currently use such as Atlassian's JIRA and Rally. It is really impossible to compare the two for the simple fact that within Appian you can build the workflows and data capture mechanisms that each of these tools offer. The difference is that with Appian you can customize the workflows to an infinite degree whereas with an off the shelf application you are relatively limited to what the developer provides.

Its core strengths met our functional, technical and implementation requirements, getting in early saved us money without putting it off and waiting until we HAD to select and implement. SAP doesn't stack up well and we wanted a US system. The cloud and its excellent functionality benefits for the Human Resources and Payroll departments was clear, and the users appreciate its generally good user interfaces and ease of movement within the system.

Workday has released Financials and is continuing to develop it's Human Capital Management footprint with the addition of Workday Recruiting. I think customers will find that is easy to add on additional functionality in the system.Workday does make it easy for customers to make changes without relying on IT resources. The Business Process framework is a visual tool that allows functional resources to make changes and see the flow of the transaction

  • In my opinion the key benefit is that managers have better information - actionable, real time data at their finger tips. They don’t have to ask people for information.
  • When I talk to others about deploying Workday – in most cases, they assume they will reduce headcount for systems administration. In fact you will need to increase. Each area requires expertise knowledge. Since everything is changing so fast, you need people who are focused in each area. However, you need a different level (lower level) of expertise so that's less pricey.
