Workday is great for large companies that are tech savvy. If your company is bogged down with data warehouses and misplaced ownership of people data (within IT) then Workday is a product that will transform your organization and HR/Financial processes. This product is also a great motivator for a more engaged manager as they can handle hiring, life cycle events, performance/development, and exits within one system.

Pros

  • Reporting- this is a huge aspect for me. I can customize reports and create my own "calculated fields" to quickly pull out any information from the system that I need. The reports can then be automated to run on a set schedule so they are there waiting for you when you need them.
  • User friendly interface- our employees are using this system on a daily basis so it is important for it to be user friendly. I think Workday does a good job making their setup very intuitive and easy to use
  • Community- Workday has a "community" website where other users post questions and answers. I have found it to be very helpful to get feedback from the Workday experts and other users.

Cons

  • This is very specific, but I wish there was a way to search by a field and see which reports are using that field. For example, if I want to see how many direct reports each of our managers have. I know I have a field called "Number of Direct Reports" but I can't remember which reports I have used that field in, so I end up having to create a brand new report.
  • I do wish some of the larger reports would run faster. I sometimes end up having to come back later to get the results.
  • The formatting of email notifications could be better. They come in plain text emails which are hard to read.

It is work to make one system the source of truth for our data, but now that it is done, there is less work involved in staying on this path. This means for us that maintaining and/or implementing new modules like performance, finance, talent, etc. is simple. It's a no-brainer

Overall this is a highly useable product. It does require continual use to stay current on changes in the User Interface and functionality, but as noted earlier, this is a reasonable trade-off for the rapid rate of improvement. It is very user friendly and the templated business processes prevents the system from becoming overly complicated

Workday is okay - it looks nice on the outside, but they still have some bugs to deal with in the software so that it is more user-friendly and functioning for customers.

Performance

From my perspective, the system runs like a well oiled machine and I have not had any issues with customers complaining about speed. If a report is taking long to run, the report can run in the background and you can go about your business. For larger enterprises, there is additional space and machines to process the application in what Workday refers to it as Extended Configuration Tenant

Support

Workday is still learning about the needs of higher education. I have seen rapid improvement in support and knowledge over the last year so am confident this will continue to improve. Overall however, I have found the Support Team to be extremely responsive and Workday offers the advantage of having support across several timezones so that we never wait more than a few hours for a response.

In-Person Training

The instructors are knowledgeable, the ability to do hands-on exercise throughout are invaluable. The materials are useful reference after training is over. However, for basic functionality the system is pretty easy to pick up and there are plenty of free classes and tools so that only the system support and implementation team really need to take formal Workday training.

• In-person training. WD was not very upfront about cost of training. It is quite expensive (had to travel to either Chicago or California, on top of training cost) and we could only afford to send one person (me) to get basic training. Basics were somewhat helpful, but could have been better. She got bits and pieces, but felt that a sold week of more rigorous, systematic training would have been better.

Implementation

We had a small team - 5 of us total. It would have been nice to have a little larger team, but we made it work. Definitely helped that for our first payroll our 3rd party partner OSV was onsight. This minimized issues.

Alternatives Considered

I have been in this business for over 20 years and I am familiar with all HCM solutions. Workday stacks up on top because of its superior user interface. It is easy to use and end users are familiar with the navigation. It is also very easy to configure. Configuring a business process is simple and with some training, you will not need to have technical staff or consultants to make those changes.

Workday has released Financials and is continuing to develop it's Human Capital Management footprint with the addition of Workday Recruiting. I think customers will find that is easy to add on additional functionality in the system.Workday does make it easy for customers to make changes without relying on IT resources. The Business Process framework is a visual tool that allows functional resources to make changes and see the flow of the transaction

Return on Investment

  • Hard to quantify. It definitely saves us time in managing payroll and employee transfers.
