Workday HCM

Workday is well suited for reporting, auditing, integrations, and reviewing worker history. It is less appropriate for tracking state taxes without the payroll module. It is also less appropriate if a company pays several allowances with different project costing.

Pros

  • Workday has excellent report writing capability. It provides hundreds of standard reports and also enables you to create custom reports. These reports can be shared with staff or kept restricted to certain departments.
  • Workday offers a comprehensive way of managing position information through the use of position management, job profiles, job families, and job family groups. This is particularly helpful for market analysis and EEO and Affirmative Action reporting.
  • High level security - highly customizable.
  • Great opportunity to provide feedback and suggestions; there is a Workday Community for all users and this input is taken into account for future version updates.

Cons

  • I would like to see certifications opened up to professionals other than consultants by Workday Training.
  • Some of the reporting functions can get very complicated for the general end-user. If you are not generating reports on a regular basis, a lot of the functionality can be lost or forgotten.
  • Integrations can be complicated and hard to understand. I would like to see Workday provide more support on integrations, rather than pointing clients to expensive 3rd party consultants.

It is work to make one system the source of truth for our data, but now that it is done, there is less work involved in staying on this path. This means for us that maintaining and/or implementing new modules like performance, finance, talent, etc. is simple. It's a no-brainer

Usability

Much efficient and on par modern HCM system keeping in mind the advancements of SMAC

Reliability and Availability

Workday is okay - it looks nice on the outside, but they still have some bugs to deal with in the software so that it is more user-friendly and functioning for customers.

Performance

From my perspective, the system runs like a well oiled machine and I have not had any issues with customers complaining about speed. If a report is taking long to run, the report can run in the background and you can go about your business. For larger enterprises, there is additional space and machines to process the application in what Workday refers to it as Extended Configuration Tenant

Support

Support is provided by OneSource, the reseller. They really have no expertise and their level of technical expertise is poor. When we went to our training, the room was filled with OneSource people going through the same training. We finished training in 1 day, they took 4 days. They are hardly experts. Workday has come out with two more releases since then and Onesource have doubled in size in the last year – so it’s hard to see how they can keep up.

There is an online community/portal that is pretty good. There is however no easy answer to “guided completion”

In-Person Training

The onsite Workday Training is very professional and helpful. It is a great way to meet other people from other companies and network within the Workday Ecosystem. While it may not be possible to train on very specific customer requirements; it does provide an outlet to learn the foundation and basics of the software and to brainstorm with others. Workday also supplements the training by other means, such as online training videos and various other offerings such as "Office Hours." In addition, a few implementation partners also provide basic knowledge transfer sessions for various modules within Workday

Online Training

Workday HCM7.0

Workday offers various training through the Learning Management System, such as On-Demand Education as well as in-classroom. The online training is professionally done and are high quality videos; some include an automated tutor, while others are with a Workday Trainer going through the system and presentations. This is definitely valuable in the very beginning of the project where Subject Matter Experts can learn the foundation of Workday. It is a great way for remote users to understand the basics of the system and is valuable to refer to throughout the full life cycle of the implementation. Workday also provides informative videos that contain pertinent information for upcoming updates. Personally, I have taken all forms of training and consider it to be very beneficial. The only concern that I receive from customers is the price and cost of travel

Implementation

It was implemented before my joining the company. At my last company, we used Workday professional services.

Based upon my experience at my last company, I would rate the implementation experience an 8/10. There are different ways to set things up and we had different people telling us different things. It set us back a couple of times.

Regarding configuration advice, we could set things up where every manager has supervisory organizations, or have it financially based i.e. aligned to cost center/department. We chose the individual manager path and I think we should have chosen a department route. Going down the individual manager path, to maintain the information, we have to inactivate a supervisory org whenever a manager changes/leaves.

Alternatives Considered

Other programs, such as SAP Business One, are good and all, but I feel like HCM is still a better interface than SAP even though I've called it clunky. It's just so much more streamlined than SAP and makes life sooo much easier.

Scalability

Workday HCM8.0

Workday has released Financials and is continuing to develop it's Human Capital Management footprint with the addition of Workday Recruiting. I think customers will find that is easy to add on additional functionality in the system.Workday does make it easy for customers to make changes without relying on IT resources. The Business Process framework is a visual tool that allows functional resources to make changes and see the flow of the transaction

Return on Investment

  • When I more frequently used HCM, it was easy to help work with employees in being transparent with their salary and explaining their pay.
  • The tracking and issuing of compensation is a lot easier than most other systems out there.
