Workday is well suited for reporting, auditing, integrations, and reviewing worker history. It is less appropriate for tracking state taxes without the payroll module. It is also less appropriate if a company pays several allowances with different project costing.

Pros

  • The user interface is intuitive and familiar. It mimics the current Apple interface, so end-users are not intimidated by the design.
  • It is highly configurable. It allows you to set up processes and workflows that make sense for your business.
  • It has a great support system. The Workday Community is great for general questions and networking with other Workday professionals. And the Workday Support site is a fast and efficient way to get your problems resolved.

Cons

  • I would like to see certifications opened up to professionals other than consultants by Workday Training.
  • Some of the reporting functions can get very complicated for the general end-user. If you are not generating reports on a regular basis, a lot of the functionality can be lost or forgotten.
  • Integrations can be complicated and hard to understand. I would like to see Workday provide more support on integrations, rather than pointing clients to expensive 3rd party consultants.

After some initial challenges with change management, Georgetown has been successfully using Workday for over two years. We will go live this year with Financials replacing our current highly customized Peoplesoft Financials system. We have high confidence in a successful financials implementation and have been very pleased with Workday's responsiveness and adaptability to the needs of higher education.

The object-oriented model makes it very easy to navigate. The UI is very user friendly with icons. One of the biggest obstacles to overcome from an end-user perspective is the fact there is no menu; but everything can be driven off an object and through a related action. Again, if you can buy something off your favorite consumer website - you should be able to easily learn navigate

Workday is still learning about the needs of higher education. I have seen rapid improvement in support and knowledge over the last year so am confident this will continue to improve. Overall however, I have found the Support Team to be extremely responsive and Workday offers the advantage of having support across several timezones so that we never wait more than a few hours for a response.

The instructors are knowledgeable, the ability to do hands-on exercise throughout are invaluable. The materials are useful reference after training is over. However, for basic functionality the system is pretty easy to pick up and there are plenty of free classes and tools so that only the system support and implementation team really need to take formal Workday training.

There are 11 different courses. They have on-demand training one hour sessions and host half day training sessions – e.g. report writing split across 2 half days, where you go into a classroom online instructor led. The online stuff is all provided by Workday.

We had a small team - 5 of us total. It would have been nice to have a little larger team, but we made it work. Definitely helped that for our first payroll our 3rd party partner OSV was onsight. This minimized issues.

Alternatives Considered

Oracle PeopleSoft was our previous HCM software. Again I can only comment from a end user perspective. However Oracle was not nearly as user friendly as Workday. It also did not seem to have nearly as many features inherent to the software. I think Workday outperforms it by a significant margin.

Workday has released Financials and is continuing to develop it's Human Capital Management footprint with the addition of Workday Recruiting. I think customers will find that is easy to add on additional functionality in the system.Workday does make it easy for customers to make changes without relying on IT resources. The Business Process framework is a visual tool that allows functional resources to make changes and see the flow of the transaction

Return on Investment

  • We've seen a positive reception from Management and Employees using the system for day-to-day, BAU transactions
  • Our data & analytics team has seen drastic improvements in the ability to track and monitor previously unexplored employee data points to drive business plans
  • The learning curve for non-tech savvy personnel is pretty high and there have been some issues with adoption for people who don't primarily use computers for day-to-day work
