ApplicantPro

ApplicantPro is excellent for small and mid-sized companies that need an easy and cost-efficient way of getting their jobs posted and getting lots of applicants. It does interface with some HRIS platforms, but for most cases it may not interface with all HRIS platforms.

How many employees does your company have? I believe it is suitable for companies similar in size to mine or with fewer employees. I believe larger size companies should only use iApplicants if they hire employees in bulk. Meaning if they make simple hires it would be an excellent product for them. Because of the limited search capability, it may not be suitable for everyone.

Pros

  • Applicant Pro has been great for our company. The ability to push the job to several free job boards (including several local options), as well as paid services, makes Applicant Pro a great bang-for-the-buck applicant tracking system (ATS).
  • The system is user friendly, which makes it easy for hiring managers to go in and go through resumes hassle free.
  • For our recruiting team, Applicant Pro provides plenty of tools tell help us be successful, such as messaging (including a built-in texting system), facilitating background checks, and other great features.

Cons

  • While Applicant Pro interfaces with many HRIS platforms to streamline onboarding, unfortunately this option is not available for us (though I'm not sure if that's Applicant Pro's fault or our HRIS provider's fault).

iApplicants provides a professional, branded web interface for our recruiting efforts. As a small company (20-25 employees), that's not something we could have allocated resources for, based on our recruiting volume/frequency. However, it was incredibly easy to adopt and was a major productivity boost immediately. It not only saved us time in HR, but streamlined the collaboration process as we worked with the hiring manager to determine how to move candidates through the process. No longer did I have to keep track of a flurry of emails and dig through them to find the information I needed. We set up a series of status codes to toggle a candidate back and forth between staff -- it's always clear whose court the next step is in.

Depending on the response rate, the list of applicants can become a little cluttered, so we regularly go ahead and send 'regrets' to candidates who clearly didn't meet the criteria and archive them, so it's easier to manage. It's easy to filter the list by the appropriate status code and email all of them at once via a template we built in the system.

I've used this product consistently for 8 years now. In that time, I've seen ONE time that they had a technical glitch -- and THEY were all over it. The only reason I even knew about it was an email alert they sent out to all clients, explaining the issue. They also had it fixed the same day.

It works. It's easy for everyone I've shared it with -- even my not-so-tech-savvy staff. When I hired a coordinator to handle routine HR duties, this was a simple transition to hand off to someone else without a lot of training. Sometimes it's a little slow downloading documents (resumes) from the site, but that could be a combination of issues that may not be related to their product. At one time, it wasn't able to accommodate newer Word documents (.doc vs. .docx), but they fixed that, as well.

I thought the training was well structured and the demos well-paced. Topics are set up sequentially so one can watch each one and build on previous tutorials. However, they are broken down into segments so a user can hone in on just a specific area where help is needed and not waste time on other topics s/he may already know. I also like the fact that the tutorials are available on the home page of the admin login, so we don't have to hunt for topics in a huge "knowledgebase." It's easy to get a quick refresher when needed (or when ready to try out something a little more advanced) and apply it immediately.

Alternatives Considered

We are just implementing UltiPro. It has an ATS module and does a lot of things equally well and some better. Applicant Pro is probably half the cost. Also, UltiPro requires an account with eQuest to post to state job boards and local job boards, this is an added cost. It is also an added cost with AP but is very affordable. I didn't use onboarding with applicant pro because I believe it was an integration with another vendor. UltiPro is attractive because it is all one system so the applicant information flows into onboarding which flows into employee management and payroll.

We evaluated no one else, I can not really explain how they stack up against other companies. In my mind that is not the issue, I am happy with iApplicants so I am not looking into other companies. I really did happen upon this company and love it, then purchase and since have used it for 6 years.

At the very basic level, it provides a place to post jobs and cross-post to free job boards. It could just be used by HR staff. However, it's more than just another place to post if one opts to utilize the full functionality-- it's an applicant management system that allows a user to pre-screen, organize, and collaborate on candidates with other users. They've added built-in background checks, reporting tools, community boards, integrated with larger/broader paid marketing opportunities, and affirmative action programs.

Return on Investment

  • We went from receiving about 10 applicants per job posting to 50-100 (depending on the job). That might sound scary but AP makes it easy to manage and select candidates for interviewing. We have a better applicant pool and better hires as a result.
  • They have a feature that posts our jobs to local universities and the state job board (which is required in our industry). This feature is huge for us and not everyone offers it.
  • Bringing in a hiring committee and involving the manager has had a very positive impact on hiring and workforce management over the last several years.

  • The recruiter doesn't have to spend time looking though paper applications so we connect with qualified candidates quicker.
