BoardPro
The best scenarios for the use of BoardPro are highlighted when there is planning, development, coordination, execution and monitoring of projects and activities, in addition to being an information panel for all the members of the different teams of the organization, it provides the ability to hold meetings, an integrating element that stands out from other software. The management of the boards is exceptionally intuitive and easy to use, in addition to simplifying its content in a way that is easy to understand for all people, granting continuity and consistency to the work or works to be developed. An area of opportunity where it could be developed in a better way is offline work, since it will not be possible for your team members to work in this way.

Box
I think Box is great for research teams or anyone that has a large number of files that need to be securely stored. Particularly in the case of social science research, where it is important to protect identifying data, Box is a great option. In cases where teams need a more reliable means for real-time collaboration, I would probably consider a different alternative

I think Micro Focus Vibe is very well suited for organizations that work in a team collaboration front and have to share documents. I think this really shines in organizations that have a standard set of information that gets lost in the sauce because of the sheer amount of people in an organization. In this case, the Wiki is very helpful in this setting. I wouldn't quite recommend this site for video production houses unless you are patient enough to correlate your needs to the many many features available through Vibe...because it all boils down to patience.

Pros
BoardPro
  • Agenda-setting and writing minutes is very easy with the built-in structure offered
  • Compiling and distributing Board packs with BoardPro takes a fraction of the time it used to - and updates to papers are so much easier
  • Ability to hold all governance documents in one central repository is useful for external Directors
  • Directors find the Board paper annotation feature very useful. New updates to this have made it an extremely powerful tool.
  • Flying Minutes feature is very useful for obtaining formal decisions between meetings and then automatically adding them to the next set of minutes.
  • The ability for Directors to update their own interests in the Interests Register is efficient and puts the responsibility on them to ensure this is up to date - this is automatically included in each Board pack.
  • The actions feature is fantastic - allocating a person responsible and an action deadline which then is followed up by BoardPro email reminders keeps people on tasks and allows the Chair to stay on top of actions as they are reported in the Board packs each meeting.

Box
  • The main feature that I like the most in Box is that it makes collaboration seamless, workers can easily check the documents any time and make changes according to the needs.
  • Box manages and backs up all of your files on its cloud servers, and provides a very nice interface for creating, viewing, editing, and collaborating on the most commonly used file types (PDF, XLS, DOC, etc.).
  • Over the past few years, Box has built on top of its basic cloud storage management with a host of other tools, such as workflows, AI, monitoring, and analytics.
  • It is helping us to make good connections with clients and our workers themselves as to its syncing and viewing feature to all is very much helpful and easy to go.

  • Novell Vibe connects GroupWise mail with Vibe natively which means you can access Vibe from within the mail product.
  • Once forms and workflows are set up, the access structure on who sees what or not is very effective.
  • You can use Novell Vibe as your main intranet with everything from wiki's, blogging and more fully automated and still in synch with your internal organisational structure.
  • After playing with it for a while i found that through jsp it is highly configurable.

Cons
BoardPro
  • development of an Android app (at the moment available only on the Apple store)
  • a section for the Q&A answer for users at the beginning level
  • upload also excel format documents

Box
  • The graphic design of the dashboard should be simpler and more tangible that can be changed to the liking of the Admin.
  • Sometimes there are some syncing issues in the background.
  • The product has very limited functionality in some areas which could be a bit frustrating at times.

  • The most pressing improvement is in printing. In speaking with Novell techs Vibe was designed as a web tool, no paper necessary. However in the real world our folks love their paper printouts. Vibe utilizes views for various functions. A print view that's easily configured would be an awesome upgrade.
  • Customized in JSP. Vibe is completely customized using JSP. I don't know it. I'm not a programmer. I can work things out, but programming isn't my forte.

Box
I like the security features and I like the website. It's easy to use and create and move things around as needed. The main reason for a lower rating is because the Box Sync app is just not a good program. It's a memory hog, it's slow, transfer speeds are slow, and it's not the most efficient route. If you have a large Box account and you need to get a computer up to speed on a large amount of data within Box, you are in for the long haul. Last time I had to do this, it took 3 days to sync all of the files and we are talking around 100 GB worth of data

It meets our current business needs and provides the scalability we need for future growth. It can be installed on Windows or Linux (Our alpha install was on Linux. Our beta was on Windows. We went with Windows). There are additional features, and application integrations, that we haven't taken advantage as of yet due to the lack of current business needs.

Box
Everything with Box is seamless. It can be integrated into virtually any other software or application. You can even get the app for your phone or tablet to work on the go. File syncing is so quick. The only reason I gave it a 9 is the issue I discussed earlier about the local file application rebooting and not continuing to sync files. Other than that, it's great!

At this moment it still looks you need to do a lot to be able to use it and to be honest that time should be used for work not for configuring a communication tool for the business. Yes I understand that it takes time to learn something to use in the organisation , but with this tool I see the help desk having to answer a lot of questions on how to use it or once someone has done something how to undo it.

The general operation and management of Box is very efficient, both when accessing the account, and when adding files, downloading or modifying any document directly. The web platform, mobile and desktop versions work really well and quickly, making all the work and process flow smoothly and without setbacks. So far I have not been able to observe any inconvenience

I found their support community lacking in clarity when I experienced a login issue. The error messaging was poor on my Box Sync application. I did not reach out to support staff for help, instead, I reasoned that I should try downloading the Box Sync application again and reinstall it. That fixed my issue, thankfully. I think a less computer-savvy user would've been much more frustrated.

The documentation is good. Since Box is a popular service, there were also a number of YouTube videos and other sources that were helpful as we were considering the product and planning for deployment. Also, the ability to try the free version helped to prepare us.

Be careful with settings. It is easy to get overwhelmed with updates. For example, you don’t want to be updated when doing historical data uploads. I recommend taking off notifications initially and then turn on post you have done your historical data upload.

Alternatives Considered
BoardPro
BoardPro is on a different playing field than monday.com, in fact, BoardPro is in a league of it's own. I used monday.com at a different organisation board and actually found that I did not use it. I found it easier to download and read the PDF board pack that was provided to me. The user interface of BoardPro is such that the software is easy to navigate and use, it is intuitive and such a delight to use.

They are kind of the same. And both of them do their job as promised. But for company and project wise I think that Box slightly wins for some points. Which [makes him] win over Google Drive (don't forget that Google Drive is very easy to use and has a lot [of] nice features too).

The main alternatives were Sharepoint or creating a custom Drupal install. Sharepoint was too expensive and didn't fit into our Novell environment. The Drupal solution we found was beyond our technical ability.

  • Box has been an only positive experience. It provides a seamless way for me and my team to collaborate on documents in such a way where we're not sending the document back/forth via email. It's a huge timesaver.
  • Box reduces the risk of sharing a sensitive document to the wrong person via email.
  • Box has provided a platform where my team can share notes in meetings - this has helped streamline and organize our meetings. Our meetings are more productive and actionable.
