Responsive (formerly RFPIO), headquartered in Beaverton, offers their proposal management and automation software, featuring import and export, proposal knowledgebase and answer library, evaluation intake forms, and project management tools (e.g. Gantt chart) associated to proposal tracking.
I think it's really good for small businesses. At least in the way we use it. It's very good for keeping an eye on employee spending in nearly real time. I'm not sure how it works for larger companies when there is a larger number of people to keep track of.
Negotiatus is well suited for multi-location--many locations doing the same thing, such as a franchise model. However, if you really want to have tight control on costing, the reporting is not robust enough that, with scale, it would make more sense to bring this in house and create your own vendor relationships
1. RFPIO is perfect for searching for specific information when you are responding to an RFP. Search engine is powerful. We narrow our search using several customized filters and know we are getting a thorough search. 2. Excel responses work very well in RFPIO. 3. Typical RFPs that are formatted in Word are challenging to run via RFPIO. We struggle with this. 4. We have yet to master the template.
Consolidated invoicing--Negotiatus consolidates all invoices into one monthly invoice for us to pay by the 15th of the subsequent month.
General ledger mapping--products on the platform can be mapped to one or more entities or cost centers through a monthly consolidated file, which has great value when it comes to process efficiency.
Ease of use--the platform is fairly easy for both users and administrators. With many locations that are geographically dispersed, it allows us to manage purchasing without an excess training need.
I wish that I could sync accounts on the back end kind of like with banking software, so that Expensify would automatically port over receipts for recurring expenses as soon as they're available
It would be nice to one-click submit an expense all the way through instead of having to attach it to a report
Wackier profile icons? :) Not a big deal. This software is pretty much amazing as it is now, and typically the urge to update and modify very good software leads to poor outcomes!
Communicating Savings: Negotiatus sells itself on its vendor network--the ability to search for the best possible price according to what is available. However, it is challenging to tell what that savings would have been (e.g., WB Mason vs. Amazon).
Speed of Resolution: it sometimes takes a few months to come to a resolution when it comes to analysis/reporting. As they do not have great reporting around savings, we often ask for them to provide some periodic analysis. The account manager will put in the request, but it may not get completed or be up to the appropriate standard due to lack of understanding of the requirements.
Cancelled Orders: at some points early on (2+ years ago), many of the orders were cancelled and we were left scrambling to replace them. That has gotten much better.
Reporting and Analytics is basic, you can purchase advanced analytics though
It would have been nice to have a set structure in mind or a example/case study to structure our responses in the most appropriate way, but we are working through that with their stellar support team
We like using the tool and we receive positive feedback from employees and management who use the tool. It saves time and helps us concentrate on the value adding activities so we are very likely to keep using Expensify in the future
This tool has been fantastic as we have revamped our RFP process. We are much faster and far more efficient.Our win rate is up, but I am not 100% sure this is the cause, but I love to see it. The customer support and training are also fantastic. Thumbs up!

Our rep has been amazing. He has built custom reports for us that have been very time consuming and difficult. Our reps are also currently looking into new submission solutions for us that we are excited about. They came up with this and recommended it on their own without me complaining about an issue. They are about our success and are very excited about the product they offer.
The team at RFPIO is extremely responsive. If I email our account manager or report a bug, I usually hear back within two hours. Additionally, they are quick to make software adjustments based on customer requests and needs. We had a really complicated Excel sheet that their team ended up having to upload for me because of the amount of manual work I was doing. Based on that, they updated the software within two release cycles to make the process more automated, so that future Excel uploads would be more streamlined. I have also had several suggestions implemented rather quickly, and they don't hesitate to reach out for clarification when needed.
The implementation process went rather smoothly, linking it to the bank and cards was handled easily. without too many unnecessary steps. Getting the accounts setup did take some time, but that would be true with any organization. All in all things went smoothly and I was very pleased with the setup and implementation process
It is definitely 10 times better than using an Excel spreadsheet. We are talking a digitized with AI type capabilities to do the work for you. It’s honestly a lifesaver. This beats manual calculations and data entry any day. Scanning 100 receipts and saving them to pdf files not only takes space on your storage but it is an extra unnecessary step
I was not involved in the process of selecting RFP360 for our firm, so I am largely unfamiliar with competitors. I am, however, quite pleased with RFP360 as a user, and am confident that my colleagues who were responsible for making the decision were thorough and discerning.
We went from paying credit card fees with no approval process to a no fees and complex approval processes.
I personally save time in not having to develop a spend report I just have my admin assistent fill in the details of the auto generated report and it is done. Went from an hour long process to 5- 10 minutes max to prepare a high quality audit ready report.
Library Health Dashboard is helpful in reducing time to clean up content but could use additional improvement by showing more granular data instead of a global assessment like good, poor, moderate.
ROI is reduced for us because of additional cost for using AI
Overall, Responsive has significantly improved our proposal process.
