Overall Satisfaction with Expensify
We've been using Expensify at my company since I joined in 2021. It's easily the most useful, easy-to-use application my company offers. The interface is really easy to navigate. The expense reimbursement process is just so straightforward-- you literally just drag a drop a receipt for an expense. If there's ever an issue, you can easily ping your manager in the system, though I've never done so. It's really a seamless process, whereas in my previous career, to expense items you had to manually download forms, complete the forms, upload them, email them and then wait forever to hear back. In Expensify, again, it's drag and drop and it parses the receipt information so you basically just have to click a few times and you're done! It's truly a nifty piece of software, and I so wish my previous employer would've used it!
Pros
- Automatically parses receipt information (price, dates, etc)
- Drag and drop uploads instead of manual file browsing
- Easy to use interface and navigation
- Simple in-product messaging tools
- Fast, automated processing of reimbursement requests
Cons
- I wish that I could sync accounts on the back end kind of like with banking software, so that Expensify would automatically port over receipts for recurring expenses as soon as they're available
- It would be nice to one-click submit an expense all the way through instead of having to attach it to a report
- Wackier profile icons? :) Not a big deal. This software is pretty much amazing as it is now, and typically the urge to update and modify very good software leads to poor outcomes!
- Main impact is that it simplifies what can be a very tedious and time-consuming process, making employees happy/satisfied and saving the business lots of lost work hours.
- I'm just thinking about how to quantify time saved. I'd say compared to doing the expense reporting manually like I did in my last job (download form, fill out, upload, email etc.), Expensify is about 5x or 500% faster, mainly because you literally just upload an invoice which it parses, filling out the form for you. The click 'submit' without an emailing required!
Concur is the only formal software I've used, though I think this was only used in my PhD program (2010-2014), so in fairness, it's been a while. I remember Concur being just OK. It was certainly easier to use than the 'upload documents to email' process my former employer had instituted, but it was not Expensify-level smart and easy. At least back then, there was no simple drag-and-drop document parsing for example.

Expensify Feature Ratings
Using Expensify
800 - The entire org uses Expensify for reimbursement. They represent all different functions, from engineering, comms, finance, HR, data science, UX/UR, product and so on. It's truly used by close to 1,000 employees at our organization, and I've only ever heard good things. We have used it exclusively for at least 4 years but probably a bit longer.
To my knowledge, we don't have any specific in-house support for Expensify, beyond perhaps our IT folks who support a number of different software products. That said, Expensify is pretty near perfect in terms of never having bugs or issues. So from my perspective, I don't really see a need for specific support.
- Reimbursement for monthly internet
- Reimbursement for business travel
- Reimbursement for professional development expenses
- None that I've seen honestly
- I suspect they'll keep using it for PD, travel and internet
Evaluating Expensify and Competitors
Not Sure
- Scalability
- Ease of Use
I've been using Expensify for a little over 4 years at my org. I'm not certain what software might have been used prior. However, I suspect that whatever we used was inferior to Expensify! If I had to find an expense management product to support 800-1000 employees, this would be the one.
If I had to select the software personally, I'd focus on ease of use. Any large org with ~1,000 employees means that you're going to need software to support folks in a lot of different roles and with varying levels of tech savviness. So ease of use is the primary criteria I'd select on, and Expensify is very easy to use.
