What is OnPay?

OnPay's payroll and HR is designed for people who want to spend more time running their business, and less on back-office tasks. The application aims to enable users to:

• Run payroll

• Automate taxes

• Let employees do more themselves

• Simplify HR processes

• Offer benefits in any state

OnPay starts at $49 plus $6 per person each month. The monthly fee includes integrations with QuickBooks, Xero, and time-tracking software, as well as all quarterly and year-end tax filings, and a set of HR tools. OnPay’s team helps users get set up by adding prior wages and employee information. Users can add on integrated benefits, a 401(k) plan, or pay-as-you-go workers' comp.

OnPay is our payroll provider. We don't have the administrative staff to handle payroll, so OnPay has made it easy to get payroll done and handle the different pay types such as W-2 Employees and 1099 Contractors.

I switched from another payroll vendor to OnPay and am very happy. The interface is great, and when I have questions like "how to fund a SIMPLE IRA for a 62-year-old in 2025," I get it answered immediately.

We switched over to OnPay for an affordable option to streamline our payroll, taxes, benefits, and onboarding process. It makes it extremely easy to stay on schedule and make sure all of the numerous tax filings and reports are submitted on time without thinking about it.

Pros

  • Accurate AND Automated Tax Filings
  • Offers multi-state services for our employees across the U.S and keeps us compliant!

Cons

  • There are limited third party integrations. I have to do our 401k deposits manually through another system, but I'm fine with it since I'm saving so much time elsewhere by using OnPay. Not a bad tradeoff.
  • You have to start with a 4-day payroll processing wait-period for a couple of payroll cycles before swapping to 2-day. This can be a potential shift if you are coming from ADP or elsewhere that you are allowed to process the day before.

Return on Investment

  • Payroll probably takes me less than 10-15 minutes each pay period - quite a time savings from when I had to process manually.
  • OnPay taking care of the filings across multiple states for us is a no brainer. Not having to log in to multiple systems to file saves a lot of frustration and time (how many times to I need to verify my identity??). Now I just go into OnPay and view/save my reports for each federal and state filing. I don't have to worry about accuracy or deadlines; it's all taken care of.
