Overall Satisfaction with Atlassian Confluence

Our org uses Atlassian Confluence for document storage and company wide announcements. We used to have only some teams on Atlassian Confluence but found that this tool is much better than others on the market so decided to move the entire org over about a year ago. Since then, we have upgraded to the premium version as well and integrated Smart courses along with it. So far it's been good for having 1 centralized place to store all of the company's items. We are also looking into opening the space up for external guest use as well as we are a SaaS organization.

Pros

  • Able to integrate with JSM
  • Can customize user permissions
  • Is able to allow guest access without exposing other spaces within our org

Cons

  • Integrations with Atlassian Confluence can sometimes be slow, such as Smart Courses
  • Limited formating structuring
  • Limited customizations
  • Saved us about $20k usd a year as we migrated from Simpplr to Atlassian Confluence for company wide document collaboration storage
  • Saved us about another $6k usd a year from migration one of our teams from Notion to this
  • Able to not have to purchase extra platforms for allowing guest access such as onboarding clients
Overall, I think Atlassian Confluence has a lot of tools that can be utilized and allows your organization to not work in silos. However there are some limitations to customizing on Atlassian Confluence. It's not as exciting as some of these other tools like Notion can be but it's quite easy to use and dose the job. We love it for the Atlassian Confluence suite as a whole to be able to work cross functionally.
The main reason for moving to Atlassian Confluence was for: 1) Having 1 space that holds all of the org's documentation and knowledge sharing 2)We already used JSM and Jira so it would an organic move to have Atlassian Confluence as our main documentation hub 3) The cost overall was cheaper having just Atlassian Confluence rather than a bunch of other software

Atlassian Confluence feels suitable for internal team collaborations and also if you have JSM or Jira set up as well. One of our most used feature is actually having Atlassian Confluence connected as a knowledge base to feed answers to our AI chat bots on JSM. I would say if the organization already has a lot of other documentation tools such as Notion or Asana and the teams enjoy using that, I would be hesitant to switch over.
