Overall Satisfaction with Deputy

Deputy is being used to track employee shift start and end times as well as breaks. It has conveniently been set up on a wall-mounted tablet, which also enables it to capture a picture when accessed. This prevents employees clocking in or out for other people. Managers are also able to easily publish schedules and access or edit timesheets and record time off.
  • Easy for employees to use
  • Updating information, adding and archiving employees is quick and convenient
  • Managers can track and edit timesheets easily
  • Schedules can be created, published, and sent directly to employees
  • Reports need to include more information, like positions
  • Better integration with digital HR platforms
  • Not having to set different departments to separate locations/areas, requiring an extra clock-in tablet
  • Saves time on scheduling and sending timesheets to payroll
  • Does not integrate well with digital HR platform and requires managers to input time off a second time
7shifts was not able to provide the integration we needed for our payroll system and no support to integrate with our HR system. It also did not have the ability to create custom reports or create reports in a format that we could use for payroll. The user interface was a bit clunky and not very intuitive for staff.

Employees are satisfied with the process and the accessibility of the app. Managers are comfortable with the functionality for scheduling and timesheets, especially as they can approve them at the end of the week from home if needed. Integration and reporting are limited and affect the overall ease of use for HR.
Ensure that all staff are provided with some training and product information so they can get the best out of it.
Deputy is great for a small to medium-size businesses that has multiple locations. As part of the process, it will track how an employee clocked in/out and from what device. While you can also change the geofence settings to restrict clock-in access to a single device and ensure employees cannot clock in on their phone/off property, it still requires separate locations/areas to be set up for different departments.

Using Deputy

50 - Line level staff (receive schedules & clock in/out), managers (create schedules, manage timesheets & requests), admin (payroll & reports)
2 - You need a person in HR to help train new staff, especially managers, on how to use Deputy and the applicable features. This will also help manage schedules, requests, and timesheets (depending on the size of the business). You will also need someone in Finance to run the reports for payroll and ensure that the costing is correct.
  • Scheduling
  • Timesheets
  • Time Off Requests
  • Reporting
  • Custom reporting feature
  • Mobile clocking in for Managers
  • On-the-go approvals
  • Multiple locations
The custom reporting feature is a great asset and has been used to gather data for a wide range of requests. It is straightforward to use the scheduling and timesheets, and it tracks the changes made to the timesheets to ensure accuracy. Support for Deputy is helpful and quick to respond.

Evaluating Deputy and Competitors

  • Price
  • Product Features
  • Product Usability
For a small but growing organization with the need to have different locations in the future, it was in the price range that we were looking for. The services provided for the cost make this a worthwhile product.
Take a look at the custom reporting capabilities to ensure they can be manipulated as needed. Ensure that it can integrate with the payroll and HR systems without excessive maneuvering or time spent.
