Overall Satisfaction with QuickBase

We use Quickbase for project tracking, time tracking, team calendar, logging technical issues and managing work flows. It is being using currently by my department and a few others across the organization. I think we use it most robustly. My original business problem was using both staff and consultants to deploy on projects nationwide. We needed a place where staff and consultants could log on to see real time data and information on project tasks and budgets daily. We have anywhere from 50-100 small to large projects on any given day - some take a day to complete and some take years. Quickbase helped us get really streamlined around our work and also enabled us to look back at past projects and understand the level of effort certain types of projects and tasks would take - giving us detailed information on how to scope similar projects in the future. It helped us to operationalize our scoping and budgeting.

  • Easy to access
  • Limits to what I can manage without programming or RDMS experience.
  • Support is limited.
  • We have sensitive hourly rate information in our system and it's hard to figure out how to keep that hidden/secure.
  • Can be complicated when you grow your applications due to how you structure your dependencies.
We looked at Basecamp and about 10 other systems and settled on QB but this was 8-9 years ago. Recently we've looked at things like Mircrosoft Project and SharePoint -- but those are expensive and overkill for what we need. But Quickbase is not meeting all of our needs. We need help figuring out where that sweet spot is and if QB can get us there.
It's not hard to stand up an application but you have to have some knowledge of setting up databases and how relationships work. The more complicated you make your system, the harder it is to keep track of dependencies.

I had a consultant setup our original application and manage it for me. I can do simple things like editing an existing form. But building something from the ground up is difficult for me and I have technical expertise.
Well suited for high level project tracking and reporting. Well suited for distributed teams. Well suited for creating forms and reports.
Haven't figured out if it's suited for more detailed project tracking. Had not been a good choice to protect sensitive information like hourly rates while still providing robust budget reporting and scoping. Haven't figured out how to integrate our time tracking from QB directly into our organization time tracking system. So we end up having to enter time twice. Need help with all of this to tune it out.
