ADP ezLaborManager

[ADP is well suited for] Smaller agencies with a regular payroll and not a complex payroll. Users must be familiar with databases, reporting, etc. as system is not as user friendly as we would like. The cost is also a factor especially as the basic system does not include other features such as performance management, dashboards, etc. I was hoping to have access to the dashboards. Reporting should also provide more sample reports

When I Work

The free version of When I Work are great for start-ups and small businesses; the free version can manage up to 75 employees. Custom shifts are easy to make, and one can organize by certain job descriptions.

Pros

  • Employees enjoy the 24/7 access to their timecards, pay stub, annual statements, and accruals.
  • Managers now have up to date information to review attendance as often as they like.
  • Payroll has been able to eliminate many manual internal processes as a result.
  • Time off reports are easily accessible.
  • Manual calculations are eliminated thus ensuring a more accurate payroll for hours worked, overtime, and benefit usage.

  • Easy to read interface and display
  • Ability to print to PDF for physical reports and record keeping
  • Employee shift management

Cons

  • Appearance: The website visual appearance could use a more 21st-century upgrade. It seemed plain and dull but that also helped as some systems are not easy to follow if too much is going on in the web page.

  • While mouseovers are present, the menu could be designed better
  • Popups in the free version covers up important features when viewed on smaller resolution monitors
  • No direct print feature

Usability

ADP ezLaborManager7.0
Based on 1 answer
ADP is a good system to track information but, what it lacks is just some detail that provides time savings. Some instances they have made "updates" that tend to have been better previous to those "updates." One example is for staff to see how they have used their time off in the past. There should be an easy way to report and review such other than looking at pay periods. Pay statement and review and totals can also improve.

While it's one of the better apps, my only complaint is the icon layout of the dash; mouseover sometimes doesn't work for my system.

Online Training

ADP ezLaborManager8.0
Based on 1 answer
The training provided was based on a generic database and reporting which made it difficult to compare when you had your own database to work at. It also didn't provide good written materials that would be useful after the training session. It was more geared towards the practice tests or applications within the training.

Alternatives Considered

Again, since we have not used anything in the past, I can not compare one product to the other.

Prior to When I Work, we had been using a Google calendar. This turned out to be difficult to track, and employees would never know who else was working the shift, nor could they easily access it without a Google Account. When I Work is both app and website based and can be used without a Google account.

Return on Investment

  • Positive: allows us to use one system of recording time card information versus manually submitting time card information. This helps captures turn labor cost while the manual way had too many room for errors.
  • Negative: if you forget to archive a termed employee, you will still be charged a fee.
  • Negative: when you terminate an employee, it does not automatically cancel out the recurring schedule, so you have to manually update this yourself. Soft cost that could be avoided.

  • Assures employees know their schedule in one place
  • Visual set up is easy to see where coverage is needed
  • Faster to manage employee times; gives employees some responsibility in their schedule
