ClickUp wins against these alternatives primarily because of lower cost and higher simplicity. Creating a task takes a few clicks, and the only remotely complex decision is which task list to connect. The flexibility, solid mobile app, and ability to tailor the task structure …

A very modern interface and support for just about every integration available. Excellent pricing and scalability. Brings detailed time tracking and billing into the PM sphere, which our previous PM software was not able to do. We continue to use a less than ideal platform …

I think that LeanKit is very similar to Asana's Kanban feature and Trello, but is much less sleek looking than Asana. Asana's clean and sleek UI makes me enjoy project management much more than LeanKit. It might sound silly that the UI makes so much of a difference to me, but …

ClickUp
ClickUp can be well suited for pretty much everything, we even use it to organize what subscriptions we have active with reminders for when renewals are due. This is helpful because we can put specific details about the subscription, how much it is, and use custom fields to sort and organize. It's amazing for project work, being able to organize the work at hand and easily see everything that's been done. I don't really see many scenarios when it's less appropriate because of how customizable it is.

This tool enables the visual management needed in many offshore teams to easily and quickly see the pending work, work in progress and completed work. For teams that work with a waterfall methodology and do not have AGILE internalized, I believe there are other solutions from Planview or other providers.

Pros
ClickUp
  • Via ClickUp we are able to handle the sales pipeline and proper history on those leads.
  • Have created the ticket creation workflow for our clients for our support teams and technical teams.
  • Customised dashboards and even with the AI brain we have created our customer agents who are helping us in day to day operations.
  • ClickUp inbuilt AI Notetaker is a good tool because after each meeting it has the ability to create the meeting notes for us.

Cons
ClickUp
  • Improve the updating of task start and end dates without requiring a refresh (F5) on the application page
  • Fixing bugs in tasks (sometimes tasks don't appear in board view, even after they've been added)
  • Improve the notification of overdue tasks (there could be some extra notifications for tasks where the deadline has already passed/expired)

  • Ability to add more than 1 visual cue to the card. We use custom icons and sometimes more than 1 is appropriate but you have to choose which is most important since only 1 can be applied.
  • Better visibility to board access from the user administration screens. Currently have to run 1-2 reports to see this information. Would like to be able to click on a user within Configure Users and see what boards they have access to quickly.

It has been a game-changer in terms of project tracking, as animation is a demanding product that requires multiple layers of analysis, revisions, tracking, scheduling, etc. ClickUp simplifies many approvals as anyone can easily add items, and you can tag the people who need to look at them.

Usability
ClickUp
- More extensiveness when compared to features, at an affordable price. - Great productivity increase since we adopted, hence it does say the usability is good. - Quick mobile view as well, for on the go checks, reverts, comments or any updates if one has. Every comment also visible on our slack.

LeanKit isn't the best designed Kanban system I've seen, but overall it's pretty usable. The boards I've used are pretty complex, so it can be difficult to find things. I found that searching and filtering for specific cards was somewhat of a challenge. Dragging a card from one lane to another is kind of a fun way to get things done though.

Reliability and Availability
ClickUp
For over a year ClickUp was unavailable to us just twice for a couple of hours. I would say for a system this big and working globally that was a minor issue. They managed to fix all the issues within a couple hours and then it was back up and running perfectly fine.

Performance
ClickUp
The speed of ClickUp is average to be honest. This is one of the biggest flaws of the system, sometimes it's also lagging a little bit but we also have a lot of documents, lists etc. on our workspace. However, with the next version of ClickUp I've seen they are planning to increase the speed by almost 500%, probably by changing the technology, so I am more than looking forward to it.

Support Rating
ClickUp
I started using ClickUp when it was what most would consider a baby company. There were the occasional bugs that made working in ClickUp a little bit of a headache, but the support feature allowed me to chat with a real persona and communicate my issues. I would always get prompt support and someone willing to really help me, not just point me to FAQ pages. Not feeling like a number really makes a difference.

Start small. Don’t try to build the most elaborate plans first. Resist the urge to get into Gantt charts if no one is used to them. Just get work written, add dates and assignees, and start getting used to it. If you did not use a work management tool before, you need to be gracious with yourself about the fact that you likely do not have the muscle memory for working this way yet. But you will get there.
And leverage people who know it if possible. Look for ClickUp experts and vendors. They can really supercharge your effectiveness at building the tool out and speed up the process.

Alternatives Considered
ClickUp
Hard to describe it, but the way it connects everything so much better, that they layout is significantly easier to use, and the capabilities are significantly higher. Cleaner and easier to use than SalesForce, both in capability and in the way the workspace UX is presented is far more usable, the features are more rich and flexible than Monday (as well as billing and feature access across plans is way better), and the list + doc + spaces structure is miles ahead of Notion in terms of structure, layout, access, and usability.

Originally, we had evaluated two other tools next to Planview LeanKit: Kanbantool and Kanbanflow. The latter was a close contestant for productive use, as it was also very customizable and a joy to work with and look at. It also had lower user fees and a mobile integration. In the end, we picked Planview LeanKit because of several reasons: Aesthetics: The look was much more clean and professional. Reporting: It was obvious from the start that we could use Planview LeanKit as a tool for improvement. API: We needed to integrate the Kanban into our central systems and Planview LeanKit API was (and still is) a way to do it. Card Headers: This sounds like a simple thing, but the headers above the titles fit our work perfectly and looked perfect, which helped the decision.

  • Before ClickUp at my agency, we were using spreadsheets to track our client work. ClickUp made it all so much easier and more effective.
  • It helps me track down to the smallest details so I don't miss anything, and it is easy to view the information I need when I need it
  • I don't really have quantifiable numbers but I can't imagine going back to spreadsheets or what other terrible alternative we may be using otherwise!

  • It makes it clear who is responsible for what project so that there is more accountability at our company.
  • It helps our project manager schedule new projects in a way that we all can see.
