When it works, It's without a doubt a great help desk solution. It is perfect for our usage, and have rolled it out company-wide. It's great if you have multiple departments. We have it set up so most items come through a single desk that then hands out tickets to their proper department. There may be cheaper options for smaller organizations but for one that is as service-driven as ours, we really think Kayako is a great fit.

Ruby Virtual Receptionist Services is well suited for a business that needs call screening and message-taking services. The service is expensive but if the user is willing to put a lot of time and effort into planning and scriptwriting, as well as call handling instructions, it may work well. Also, if there is not much information that must be captured by the receptionist, I feel this may be a better fit.

Smith.ai Website Chat is an excellent solution for law firm owners that want a cost-effective strategy to capture lead information from website visitors. Our website generates hundreds of visitors each day and over 7,000 visitors per month. I strategically have placed the online chat feature on the contact page on our website to engage with only those potential clients that are serious about retaining our services and making a purchasing decision. I have priced this type of online chat service with several other providers (Ngage, Apex Chat). Some of these providers charge as much as $35 or hire per qualified lead. Smith.ai comes in at approximately $8-$15 per chat session with a potential lead and even offers some flat rate options. There can be further cost savings if only the chatbot feature is used without live agent support. In this option, a website visitor can engage with a chatbot using Automated questions and answers without the need for live agent support. My firm beta tested this product in of it itself and it generated several thousands of dollars in revenue. The customer support has also been exceptional. All the representatives at Smith.ai have been responsive to customer service questions and implementation of the product. Capturing leads with the chatbot feature and the live agent support has even been more profitable. Based on our CRM data, website chat leads generated over $127,500 of revenue for our firm and engaged with 230 potential clients in just the past 12 months.

  • Departments need a bit of work. Even though you can have multiple departments, the only changes that can be made are globally. If you want independent queues within the departments, you have to do a lot of work that can be very confusing.
  • Survey system is not up to speed. Kayako really needs to add Net Promoter Score into their system. Also, if a staff user removes their name from an incident ticket, it removes them from the survey so you really can't even get a good estimate of how well your staff is in the eyes of the customer.
  • Very difficult to implement when you already have a customer base. Setting them up in organizations is difficult. Also, the sign-up for new customers is quirky. If you send an email to Kayako, it will say you are not an authorized user, however, it will store your email address. If you try to send an email a second time, it will go through. This is one of many reasons why we decided to move from Kayako to Oracle Service Cloud.

  • Our team's processes are now heavily ingrained in the system
  • We have not been shown a more compelling option that is more cost-effective while still offering all the features we've come to expect

Smith.ai Live Website Chat allows you to provide a script for when they answer prospective clients. The script is customizable as your needs change. However, the script only goes so far, as they do not know your business personally. Once they do go through that script, they send you an email with the caller's contact information so you can reach out personally if they seem interested. They do so with efficiency.

Smith.ai pays for itself if we can help one site visitor move down our lead funnel to being a client. We have averaged over 50+ new leads each month since implementing the chat and with a close rate for becoming new clients that is double what our advertising PPC new client closing rate has been.

Three years in we are about as happy with Kayako as we could be. We've had several employee's leave and on-boarding new hires was easier than it has ever been as things are uniform and consistent across the entire application.

We were using Spiceworks for a few years before switching to Kayako but found that it wasn't as customizable or as user friendly for our customers. The SNMP scanning and inventory features with Spiceworks was nice but we needed more of a Help Desk that would allow us to scale our services to more companies.

We switched over from Answer First to Ruby Receptionist because we wanted a more full-service answering service. We wanted to be able to call out using our business number as well as text in and out. We also really liked the "call-out request" feature as it freed up our time and allowed Ruby to handle minor client communications, etc.

  • Tickets were definitely responded to faster once we implemented the audible alarm that would go off when new tickets came into the queue. This was possible because of the API.
  • Since the system was email based we could set our monitoring software up to generate tickets automatically via email for customers when it found something out of the ordinary.

  • Positive - Smith.ai has easily saved me $25k+ in receptionist costs. They probably helped me land another $50k in new business I would otherwise not have brought in the door because they immediately grabbed the client on our website so they didn't get away or have to wait 2 days for a call back. Great ROI (100 to 1 ROI is probably not an exaggeration for my law firm).
