Documentum is best used in medium to large institutions that can afford it, have alternate solutions for web publishing, and who have either in-house developers or can hire good Documentum developers (not the ones who know Java but do not understand ECM). It is, in my opinion, the best heavy duty ECM solution out there, assuming OT is not gutting it as we speak. That is my only hesitation to not giving it a 10, OpenText is an unknown quantity in this and I worry that they will only support Documentum until they have figured out how to fill the gap between Documentum and OT and then offer a migration path to OT with a Documentum sunsetting as an incentive.

Tungsten Power PDF has been very helpful when needing to perform quality control on scanned documents. It has allowed me to check if the quality of the document is up to records management standards and make minor edits to fix small errors. It has also been helpful removing specific names from documents for privacy reasons. I have found it to be less helpful when dealing with primarily image-based PDFs, as there is limited image-editing capabilities.

Ease of navigation is probably the top seller for me. I might work on a dozen or more separate files per day and I need to be able to switch between files efficiently, especially when asked to find something quickly. Naming conventions are simple and easy to use. Searching for a document, even when there are hundreds, is pretty simple and straight forward.

    Pros

    • Records management: Compared to other content management systems, this provides a efficient and scalable solution. It gives lot of flexibility in managing the content as Records or Legal holds.
    • Workflow system has external plugins to connect with FAX, Mail, Database and FTP servers etc. which gives an option to integrate with any system with documentum.
    • Creation of websites and maintenance is easy. Content authors can create the pages with effective mechanism.

    • No bloatware or unnecessary features, obnoxious update requests, or really anything that would stop you from doing what you need to do - read/edit a PDF. This is the major advantage over many competitors.
    • Opens fast, with intuitive navigation and features; great for reading and annotating PDFs. Exporting and rearranging pages is also very smooth.
    • Signing is a little unintuitive, but I believe it is reasonably done here.
    • The PDF is not a file type that is intended to be directly edited. Thus, all PDF editors are clunky. This is no different, but simple tasks like adding text on top of the document, adding comments, or highlighting are relatively smooth.

    • Forced structure via hooking into every day applications and producing Worldox Open and Save constructs versus the standard application Open and Save menus.
    • Extreme customization options including cabinets, folders, and document types.
    • The indexing system is very useful for locating documents by name, body, date, etc.

    Cons

    • WDK framework has been the biggest drawbacks from the application speed point of view, as well as client complexity and not so natural look and feel. Yes, with the latest releases much of these features are improved.
    • EMC is very expensive to buy, own and support, where some products require many dependent Docuemntum products to be installed to work at its best.

    • Filling in your own signature in PDF Forms is hard to understand and needs more features (such as uploading your own signature as a PNG, etc.).
    • Creating your own formula and understanding field names, logic, values, etc., is quite hard; it is NOT intuitive at all. Needs to be improved!

Stability is a key factor as well as its flexibility. Also, any organization that deploys Documentum will have made a significant investment in terms of time and money, so not renewing its commitment can come with a significant cost. That said, the decision to deploy Documentum initially should come only after extensive evaluation, knowing that once deployed it will likely remain the platform of choice.

I have contacted support a total of three times; once for installation support, twice for software support. I received contact back on my requests within four hours each time. Support was professional and supportive and quickly answered my questions/resolved my issues. I also emailed support a separate time to suggest software upgrades and receive a personal response within 24 hours. Very appreciative.

Not really familiar since I'm the only person who uses it. But in the past it has been my understanding that Power PDF was offered only on a single-license basis, so it's been expensive for me to use it at home and at work because I had to pay for it on my own. In my current position management supports it so I at least only have to pay for it once.
