I'm not sure how Shoeboxed can be used in a large organization, but for our small business, it is perfect. I'm the only one who deals with our finances and works with our accountant and for that Shoeboxed is simply my lifesaver and worth so much more for not just all the time it saves me but all the worries and headaches too.

Rather than having to hold onto my receipts until month-end, have to scan them in (which could be multiple pages), fill out a spreadsheet of the expenses incurred during that month, compile it as an email then send it over to my line manager, and accounts, I can simply take a picture of a receipt, let the system auto-generate the claim with a small amount of input from myself and send it to the relevant person. I can then track it as it gets paid back to myself. It's suited to scenarios where multiple monthly expenses are incurred and even when there are just a few. I believe it suits all situations and there is nothing it cannot be adapted for.

  • Everything is effortless and straightforward, and the overall experience of using the website (or the app) is much more seamless and enjoyable.
  • The platform allows us to automatically import the items by syncing with our credit card provider, which is particularly handy
  • On the app you can take photos of your receipts and the OCR will automatically import the right fields in your claim.

  • I had some issues with the mobile app in the past - where it crashes or gets stuck uploading. I think they fixed most of that, however, I transitioned to simply mailing my documents off to them.

  • One of the main issues we find is that some users find it difficult to navigate. Large expense claims can take quite a while to complete so we recommend either compiling claims as you go, or submitting more frequent smaller claims
  • The system doesn't give a warning when fuel rates expire. This means that users are not able to claim mileage as they don't have a valid fuel rate associated with their vehicle. This is the single most common cause when people tell me the system isn't working.
  • It is not always clear when a receipt has been added to the claim as there are various ways of doing it. The save button could be more obvious on some screens.

It is easy to use. Scan/photograph your receipt, check and enter the details, add to a claim, starting one if necessary, submit the claim. The fact I can do all of this from my phone on a relatively lightweight app is a positive. I can check and track my claims on the web portal when I want.

I only have experience of our internal support team and they seem to be pretty well informed of how Webexpenses works and how to support us as users by answering our questions. I have not had any direct support from the Webexpenses team so am not able to comment on that specifically.

It was difficult to train multiple people via video, as they learned at different speeds, and most of the user champions were not as capable with systems and finance processes as our dept.

I actually researched several products that were similar to Webexpenses. I can't even remember their names, but I chose Webexpenses because of the ability to customize practically everything. Instead of using proper GL account names, I was able to attach slang that is used by the users to the correct GL account so the users didn't have to learn all of the GL account names.

  • As a end user, it has provided a positive impact as it's enabled me to spend as little time as possible in order to complete my request.
  • For my manager, it has provided a positive impact as they were able to review and approve my requests in a matter of seconds so they can get back to their job.
  • For the HR and finance teams, it has provided a positive impact as it seems that the system is fully managed and requires minimal admin on the behalf of these internal teams.
