Vena Solutions

Vena is great for organizations that are comfortable using Excel and require lots of flexibility as it allows you to design and build your templates in exactly the way that you need. It's also a good match for organizations that have disparate users contributing simultaneously because it's permissions allow for everyone to work in a standard template while only being given access to edit the data for which they're responsible. If you have a team that has internal capacity to manage your systems, Vena as a platform allows you to expand beyond your initial implementation independently without needing to go back to a consultant to make an adjustment or start a new project.

Compassion as a Non Profit provides funds to partners for Child Support. Workday Adaptive Planning can help the Partner to Provide the expense information monthly so their fund allocation can be approved for disbursement. This way the Field Officers do not have to collect the data in excel for review and approval before loading it into the current system before disbursement is done.

Pros

Vena Solutions

  • Vena is easily adoptable by new users because it is Excel based. Staff are not intimidated by the software.
  • It's easy to distribute monthly reports to the staff with Vena's workflows and Report Books. Once those are set up, distributing monthly financials to individual departments is an easy process.
  • It's easy for us to upload data from our accounting system - at the transaction level - to Vena. We simply download a file from our accounting system and upload it into Vena. Whatever manipulation of the data that's required is done by Vena. We don't have to do anything.
  • Vena's customer service is excellent. Their customer service reps. are pretty good and I will say they are fair-minded during contract renewals. I never feel like they're gouging me. They are decent people to work with.

  • Version Management. Adaptive lets us manage many versions/scenarios all in one platform with the robust ability to compare them to each other.
  • Processing Performance. With the Elastic Hypercube technology that was implemented a few years back, we can watch changes flow through a complex web of formulas and arrive at an answer within seconds.
  • Audit Trail. Our administrators love the ability to see and report on who made what changes when, which leads to real accountability within the organization.

  • Workflow management - The workflow status tracker is only available when logged into Vena and cannot be distributed through automated or scheduled email notification
  • Not mobile friendly - Since reports/templates are in Excel and require the add-in to view, you cannot access your data on a mobile device
  • Admin support for add-in - The add-in can be cumbersome for end users not familiar or used to working with more advanced features in Excel. Additional support and training are necessary to help users troubleshoot when data does not automatically appear when opening an Excel file.
  • License cost structure - Vena recently changed their licenses to include a view only license. This license is extremely limited and will not allow for simple approve/reject reviews. Additionally, the cost of 1 admin license (necessary to build workflows, templates, and reports) is excessively overpriced compared to the other offerings.

  • It would be beneficial to me, as a user, if there was a library of documentation for every type of feature. This could be something regarding formula building, understanding how attributes work, with examples, or a location for basic and advance documentation on Sheet/Model/Cubes.
  • I would like to have the ability to directly assign some dimensions to accounts easier. A drag and drop feature for that would be interesting. This has been a challenge for me when new dimensions are built and I am unable to assign them to new accounts.
  • I would also like to see some more formulas or an easier way to do some basic tasks. For example a simple YTD function instead of running a simple, yet long string of texts for the formulas. Or the option for selecting YTD features, removing the need of the formula all together.

      We have been extremely satisfied with the Vena Solutions product and have been able to become more efficient in our budgeting, forecasting and salary planning processes, as well as adding functionality and accuracy that was not possible in the past. Administrators no longer have to keep track manually of each department's budgeted net, but can use a report created in Vena to report this information, as well as see which departments have not yet submitted information. Customer service has always been very responsive as well

      This is split between usability from an end-user perspective and administrative. Administrative - The tool is lacking in a cohesive way to administer the tool, both from more of a back-end perspective (ETL/Integrations, scripting, etc.) as well as from a business administrative (Processes, Models, etc.). On the more back-end IT related aspects, the tool is a mishmash of modules that were clearly developed in stovepipe fashion. Basic feature/functionality aspects such as version control, auto vs manual save, etc. differ between the code preparation components. It is also lacking in any sort of coherent version control. Not all pages display the context information, so extreme caution must be used. There is also no coherent migration strategy. The process and model navigation has been somewhat challenging for our business administrators, often requiring assistance from Vena when creating or altering templates. 2 of 10 End User - This is better. The Excel add-in generally functions well. Creating basic templates is straightforward, and there is a large degree of flexibility when creating reporting templates. Being part of Excel puts many users into a comfort zone. The toggle switch between template and data mode is not well conceived, and the add-in pop-ups occasionally have issues on multi-monitor displays. 6 of 10

      Workday Adaptive Planning has detailed online help with both articles and videos that are comprehensive. It has a lot of similarities to Excel, which most finance people are already familiar with, plus the user interface is intuitive and easy to pick up. The online support team is quick to respond and very knowledgeable.

      All aspects of Adaptive Insights perform well. One area that I wish was quicker was integration. When importing data from Intacct our accounting ERP platform, it can sometimes take 4 hours for the import to process. The earlier imports are done, the quicker they complete. My estimate for a quick upload is about two hours.

      Our 3rd party vendor walked us through the whole process and was available for questions after we started using the Adaptive Insights. I would suggest using the online training environment plus an individual walk through of your company's model to get more acquainted with the instance. There were also on-line tutorials to help us along the way.

      The training program in Adaptive Insight has grown quite a bit, since I originally implemented in Adaptive Insights. I would now give it a 10 rating and suggest that anyone implementing for the first time work through the certification program. The certification program is a very detailed in depth primer to understanding how the system works.

      After researching several CPM products, Adaptive and Prophix actually both met our needs quite well. The Adaptive Sales & Design Team went above and beyond in the early stages of exploring whether Adaptive could meet some of our very specific needs. Adaptive's customer service during the exploration phase was noticeably present. We chose Adaptive and a vendor in our local area to implement. Budget Maestro seemed to require more IT resources than what we desired to invest. Vena Solutions was a bit pricey from our perspective and Xlerant didn't quite have what we were looking for in a budgeting tool.

      We use Vena across 10 countries and 200 users who are located in a wide range of settings and internet reliability. Even with that wide implementation, the most common issue we run into is a new hire not installing the Vena add-in, which is a super quick fix. Depending on our user's location, the internet can sometimes be spotty, but that is outside of Vena's control and even in those settings, Vena might take a little longer to open a template, but it still does open and the user can complete their work. Over 5 years of using Vena, we've collectively only had 3 issues where we needed Vena support to help look at a specific issue a user was having.

      We went from 2 users to 70+ users over a 2 year period of time. The application scaled wonderfully. 65 of those users were non-finance users so they were able to quickly learn the software and prepare budgets quickly and efficiently. That is the power of Adaptive and its ability to scale
