Does not have the ability to enter dual caregivers. Challenging for parents who are divorced and signatures are required from both parents. It is not effective to have two separate portals for the same child.
TherapyNotes is used across Key Rose, LLC. It helps streamline payment authorization, billing/invoicing methods, scheduling, consumer on-line portal, and electronic health record. It is easy to use and learn. There are tutorials available as well as a TherapyNotes blog that introduces features that may or may not be beneficial to my organization.
Scheduling is streamlined and accessible by the user or the consumer. Consumers can request, cancel, or reschedule their own appointments and TherapyNotes notifies them via email or preferred contact method if their appointment request was granted or denied.
Billing is streamlined in that Key Rose LLC does not have to insert any special paper (e.g. CMS 1500) and I can select the option for printing the CMS-1500 form out on the PDF.
TherapyNotes offers an easy to follow on-line portal for clients in the EHR that have been granted access to it. The portal will send out email notifications of pending documents or documents that need to be reviewed. Clients can update their demographic information, scheduling/availability, and payment information without every having to call the office.
The EHR component with patient information (e.g. demographic, payment, etc.) is great. It asks all the right questions in English and provides the option to upload PDF documents into the Library, which then can be shared through the TherapyPortal (client portal) with clients.
Spanish documents are not available. There is not a way to use Spanish documents that can be filled out online like the English documents; instead, the practice must upload a PDF into the Library, share with client via portal and have then print, fill out manually, and upload for organization review and approval.
Sync feature from Client History Form is inconsistent. It may work with some clients but not with all. Sometimes the user has to completely log out and log back in in order to obtain partially parsed information to use in a treatment plan or psychotherapy note.
TherapyNotes is ideal for any size practice with single or multiple providers/clinicians. Its scheduling, billing, EHR, and online portal are great for English speakers but not at all user-friendly to Spanish speakers. It is definitely affordable for a start-up practice and fees associated with merchant services are low compared to competitors.
I have experienced a positive return on investment with TherapyNotes and Key Rose's overall business objectives as it has taken the stress of the billing off of me. I am able to customize the coverage I am in-network with that may be non-traditional and add specific parameters to them that other EHR software did not allow. This has allowed me to focus far less on billing and reconciliations and more on direct client services and marketing efforts.
TherapyNotes is a bit less intuitive than some of these other EHRs I have utilized but it is also easier to use for me as the provider and user-friendly for English speaking clients. It is also more cost-effective to use TherapyNotes with everything including merchant services and the fees associated with that.
As a sole provider in my private practice, I represent all functions of the business from marketing, advertising, billing, consumer service, and direct care. TherapyNotes has streamlined the billing and consumer services so that I can focus on marketing, advertising, and direct care.
I am able to customize the insurances I am considered in-network for regardless of how non-traditional they are. I can input their payment information, co-pay, limits to sessions, etc.
TherapyNotes replaced Simple Practice for me. I was initially exposed to TherapyNotes in 2015 during graduate school and loved it. As I obtained employment for other agencies I noticed Simple Practice was used so I initially tried that when moving into my own private practice; however, I quickly decided that the scheduling feature was not was I was looking for. I explored multiple other EHRs and found the ease of scheduling I needed with the Google sync features that I were used to using and that is what sold me on TherapyNotes.
Product features- I was delighted to see that I could sink my TherapyNotes schedule with my Google Calendar and not take too many extra steps to have this be a successful feature.
Price- Most affordable for a start-up private practice and more reasonable merchant service fees associated with online payment methods.
Product Usability- Definitely user-friendly for the provider and the consumer, alike.
If I decided to do it all over again, I might change my evaluation and selection process my thoroughly vetting an EHR to ensure they have bilingual capabilities that are user-friendly for consumers.
