Dropbox is used as a common file repository. It is also used to electronically sign and manage controlled documents.
Pros
- Makes documents communally available
- Allows synch to windows
- allows multiple editors
Cons
- Frequently results in "conflicted copies" from parallel editing
- E-sign-off produces new "(signed)" versions of files that don't follow the original link, resulting in parallel signatures vs consolidated
- Finding documents can be difficult, since folders without access are invisible. The folder structure ought to at least be visible to know where access is needed in the first place.
- Offsets on-prem server
- Provides security, mitigating need for a third party service
- Allowed for good speed of execution
