Cutdown on workflow steps with ShareFile
Overall Satisfaction with ShareFile
We use ShareFile to create accounts for each of our contractors. We create a client folder and share the folder with the contractor that is assigned to the client. The client can upload documents for our team to review. We keep a folder for internal documents and a folder that the client can access. I also create a private folder for the owner of the business and myself for all business-related files that are private to him and myself. We use the signatures feature to send work proposals to new clients to sign which is stored in their client internal folder. We use the encrypted email to send anything that may have sensitive info or HIPAA info. We will add the customer portal link to our website so our clients can easily log into their folders. ShareFile allowed us to go from using 3 apps to 1 which allowed us to reduce some of our overhead.
Pros
- signatures - Sending documents that need signatures and choosing where the document will be saved.
- Encrypted email- easy to use for the sender and receiver.
- Custom branding- allowed branding so customers can see they are in our company ShareFile account.
- Access- Easy to select who has access to what
- People- can easily see a list of people that have accounts
Cons
- I have no feedback in this area just yet
- Looking into templates and integrations more- not easy to see the benefit at first glance.
- Compliance requirements are met as we receive HIPAA related info
- We have saved an average of $100 a month by combining 3 sperate accounts into one platform.
- Improved workflows as we have integrated our sales process and automated client folder creation.
- enhanced security for files - we can select who sees what
The impact that ShareFile has had for us is a major reduction in workflow. We have one place to go to see access and can centrally manage all of our clients within ShareFile. Notifications of uploads allows us to ensure we are seeing when clients upload new documents for our team to review.
We have seen our E signature workflow change with the use of ShareFile. We are able to select where the signed document will be saved to when creating it. We can also see areas that clients may want changes to and easily make those changes and track versions of the document.
DocuSign did not allow me to save directly to a client folder. ShareFile will allow this, and it cut out having to move or download the file then store it in a client folder. We used that along with Dropbox. Dropbox did not allow us to seamlessly see who had access to what folders. We can easily run a report in ShareFile per user and see what folders and access each user has.

Evaluating ShareFile and Competitors
Yes - DocuSign and Dropbox. We were looking for an encrypted email solution and a secured storage area for transferred files. Dropbox was not user friendly on the customer end and they often felt confused and were being asked to sign up for an account to view files. DocuSign also sent a request to sign up for accounts when sending over a document for signature. We needed something easier for our end user and wanted 1 platform that could offer it all.
- Cloud Solutions
- Integration with Other Systems
- Ease of Use
Ease of use was #1 for us for our end users. The system we were using sent links and the client had to save the link or often could not figure out how to send files to us. You could not easily see who had access to the folders. It was not user friendly.
I would like to learn more about the integrations. We use QuickBooks and I am now looking further into that. If I can easily get receipts to our bookkeeper that is another workflow that I am looking to reduce. I would have asked more about the integrations and templates that are offered.
