Use Cases and Deployment Scope

We were looking for a simple online project management tool that was simple to use and easy to learn, and Smartsheet had everything. It is kind of an online version of Excel with more features like Kanban cards and Gantt Charts.

Pros and Cons

Not much training required
Works like Excel
UX is perfect
Custom notifications are easy to maintain, not like Asana

Not like JIRA
Custom development is difficult
Licencing model can be better

Return on Investment

We have achieved a simple project management system.
We can share the sheets with external agencies as well.
Training was practically not required.

Usability

I have seen users still working on Excel sheets in the cloud because they find it easier to use. In these scenarios, I'd ask them to use Smartsheet because it is more advanced and useful then Excel. I really like the support as they respond really fast and help with the functionality.

Support Rating

They not only helped us with the setup but also in the initial training.
We had an issue where we were using Smartsheet for free and with multiple accounts, and they helped us with combining all the open accounts and moving the exiting data to our new account. So, there was no data loss and they helped move Excel-based formula data easily to the new sheets.

Alternatives Considered

Asana and JIRA Software

Smarsheet was cheaper. JIRA is really expensive compared to Smartsheet. Smartsheet is also not just a checklist. Asana to me is just a checklist, which sometimes is not useful at all in project management.
I call it an Excel++. You can use it the same as Excel and also make Gantt charts and calendars.

Likelihood to Recommend

It depends on the work. I would recommend Smartsheet for small and easy task management but not for IT or resource management. They are a very cheap alternative to any other similar option.
If they better configured resource management and capacity management, then Smartsheet might have more function.
