Overall Satisfaction with Webexpenses

Used for monthly expense reports and payments. Enables staff to enter expense receipts for any payments made for work purposes. As the company has a lot of remote staff, they are able to use the system to claim back mileage which is automatically calculated based on number of miles completed.

  • Claim history vanishes quickly after payment
  • Could do with more hints for the different options to explain purposes
  • Receipts do not always save for further use
  • Confident that expenses will be paid on time
  • Able to put through expense receipts immediately whilst working in the field
  • No other major impact
App and website are simple to use and easy to add receipts to. Receipt retention could definitely be better. Titles for vaults could be simpler but this could be more company specific. Explanation for some of the expense options could be more informative as unsure of the differences between certain choices.
The app means i can add to my expenses immediately after purchase instead of waiting for access to a desktop. Whilst travelling abroad, i know expenses would be accepted in different currencies and travel mileage is always generously taken in to account to ensure staff are not short changed on mileage or expenses.
The simplicity of the website, app and all features makes it intuitive to use for staff and for the finance team to easily assess and approve expense payments. The transparency of the expenses (Not easy to manipulate or any hidden costs built in) makes everyone confidant that expenses are accurate.

I find the system Well suited for internal expense payments especially as many staff are remote based and may not have regular access to laptops which makes the phone app highly beneficial. Can not envisage it being appropriate for external use however this is mainly due to the fact that we are currently using an internal system that addresses all of our needs for client payments.

Using Webexpenses

50 - All business functions to cover expenses including field based staff such as medical and commercial, finance and all managers in the organization to approve and review staff expense reports
We have 2 people in the finance team working regularly with webexpenses. This includes reviewing processes, ensuring staff are educated in submitting expense reports and that these reports are sent to the correct persons. Managers are also well versed in working with the site to review and approve expense reports.

Yes - he mobile app interface is implements Very well and is intuitive. The mobile app is easier to use than the webpage when it comes to uploading receipts so i find using web expenses is at its best when using both interfaces interchangeably. The only negative to the app is it can sometimes be difficult to add claims especially with mileage
